WRITING: A REPORT Petr Novotný Gymnázium Dr. Karla Polesného Znojmo

INTRODUCTION A report is a structured, well organized document, which defines and analyses a subject or a problem. The aim of a report is to inform about the subject as clearly as possible; therefore, a report must be accurate, unambiguous and well organized. The style is formal and relevant to the target reader.

THE PREPARATION Before you begin, make sure you understand the topic, the purpose of the report (eg to inform, to persuade, to evaluate) and know who it is being written for. A good reports requires a lot of information – collect sufficient amount of data from reliable sources. You can use mind maps during your preparations to arrange the facts in a clear and logical way.

THE STRUCTURE AND LAYOUT (1) Reports are usually written in sections with headings and sub-headings. Sometimes bullet points, numbers and letters are used to articulate these sections. The sections should be separated clearly by leaving generous space between them. Tables and figures (eg graphs, maps) may be included in more complex reports to clarify the data.

THE STRUCTURE AND LAYOUT (2) Typical sections of a report are: – INTRODUCTION – BODY OF THE REPORT (in clear paragraphs) – CONCLUSION(S) – RECOMMEDNATION(S) – (BIBLIOGRAPHY AND REFERENCES)
