Molly Harrington, MLS, AHIP St. Joseph’s Hospital and Medical Center, Phoenix, AZ Presented October 16, 2013 for Midday at the Oasis

WHY? After receiving some requests from medical and hospital staff regarding a compilation of their own published works, it seemed plausible that a compilation of ALL staff publications would be considered useful.

WHEN? In early 2006, the decision was made to compile all publications. An was sent out to the entire institution outlining our proposal.

THE From: Harrington, Molly - SJHMC Sent:Tuesday, January 17, :10 AM To:SJHMC-Everyone Subject:Authors at St. Joseph's and the BNI It's a brand new year, and the staff at the Health Sciences Library at St. Joseph's have made a resolution to let everyone know about all the terrific research articles that originate right here at our institution. To that end, we will be sending out an at the end of every month, updating you on our authors' most recent publications. Library staff will routinely search Medline for articles originating at St. Joseph’s and the BNI. Because Medline does not cover all published materials, we encourage our authors to send us an when they have had something published. We will gladly add it to our monthly report. The first listing our authors' articles from January 2006 will be distributed on Tuesday, January 31st.

THE FIRST RESPONSE From: Hunt, Linda - SJHMC Sent: Tuesday, January 17, :18 AM To: Harrington, Molly - SJHMC Subject: RE: Authors at St. Joseph's and the BNI Great idea. Thanks for thinking of this. Linda Hunt, President St. Joseph's Hospital and Medical Center

HOW? Set up 2 separate searches in PubMed: “Barrow Neurological Institute” (“St. Joseph’s Hospital and Medical Center” AND Phoenix) NOT Barrow Searches were saved to My NCBI, and then scheduled to run every Friday with new content to be delivered via . Near the end of the month, search results were compiled and a Word document was created with the citation summaries, arranged alphabetically by first author.

DISSEMINATION At the end of every month, the Publications List would be ed to SJHMC-Everyone, with a request to our authors to supply information on any missed publications.

1 st YEAR MODIFICATIONS Monthly list became an aggregate list. Compiling the data went from a once-a-month activity to a once-a-week activity. St. Joseph’s and BNI authors were identified and their names highlighted in the citations.

LATER MODIFICATIONS Began constructing, saving, and running searches on individual authors’ names. Compiling the data went from a once-a-week activity to a once-a-day activity, and distribution went from monthly to quarterly. Began including citations that mentioned the BNI within the title or abstract. Broadened our distribution list to include Residency Program Directors and Coordinators, and Academic Chairs. Provided list in both Word and Pdf formats

FUTURE MODIFICATIONS Due to requests from several different departments, we are in the process of setting up searches for groups of authors, such as Research or a specific Medical Group. Will investigate collecting citations in a database, such as a citation reference manager, to allow for greater flexibility in searching, organizing, and linking to full- text.

IMPACT? Though we have not developed a tool to measure the impact of the Publications List, we have heard from leadership in several departments who have said that they depend upon the list, including, but not limited to: Research SJHMC and Barrow Foundation Publications Office Medical Staff Services External Affairs
