Presentation transcript:

A subject line is the topic of the so the recipient of the has a preview of what the is about. It will be no longer than a couple of words or a short sentence so they know what it is based about. This is essential for ’s else the topic of the would be unclear and be difficult to understand.

Sending a reply means responding to the recipients message. It acknowledges them that you have seen the message and you wish to continue the conversation by responding to them. A reply will be indicated with RE: in the subject line.

Forwarding a message means to send an exact message that has been sent to you by someone else to a different person. A forwarded message will have the term FW: in the subject line. This is important for etiquette because it demonstrates a good understanding of the how the system works.

To Carbon Copy (Cc) a message to someone, you insert the name in to the Cc section, and it sends the same message to that person as well as the recipient. The recipient can see its been sent to the other person. This is also important for etiquette as it demonstrates a good understanding of how the system works.

Blind Carbon Copying (BCc) means to send a message sent to other people, but the others can not see it’s been sent to the BCc recipient. This is used to send secret messages. This is a clever tool to use for ’s and it is an essential skill.

Attachments are folders and files which can be sent with the . These include different jpg. Files and Microsoft Word documents. This is great for s as it gives s more of a purpose knowing you can send various types of files.

The section here listed is the contacts you can send messages to. To enable this feature you click on a recipient and select either “To”, “Cc”, “Bcc”. When you a new contact they come up on your recipient list. This gives a clear view of the people who you can communicate with and an easy and quick way to send messages.

signature is the information on each you send which will appear at the bottom. It states relevant information about you and other information that may be required. This is a great skill of s at it saves time consistently writing out your contact information.

An automatic reply is an instant reply that will be sent when you are away to whoever s you to acknowledge them that you are not available. It can be set for different times. This is good because if you are away you have a way of alerting everyone of your whereabouts.

etiquette is the type of writing you would use to send to workers in a formal context. This includes such factors as: Choosing an appropriate name. Proofread your . No slang as it is deemed unprofessional. Be concise. Watch your tone. Always start off with a warm greeting. Mind your manners. I shall use these skills in future s.

I have compressed a zip folder as shown in the screenshot provided to the left. It is a combination of files compressed into one folder.

I have then shown the zipped file being sent to 3 different recipients, including a Cc and Bcc recipient. This has demonstrated how I can use zipped folders in s.

There are a wide variety ways of storing s and attachments. With s, they are stored on a database for further use. There are different folders for each category of , including Junk, Inbox and Drafts. For attachments, you are able to save and store these files in folders. These files can include such things as JPG’s, GIF’s and Doc. They can be saved and stored in folders on your own computer. You can create s in different folder for certain subjects like I have demonstrated above.

You could need a group created for a variety of different reasons. The benefits of having groups set up includes being able to multiple people all at the same time. This can make ing more efficient and quicker and a huge benefit when having to send multiple s out all at one time.

There can be many errors occurring during s and I have listed some below: -Cables unplugged – You would check the back of the tower and make sure it is plugged in to the mains to provide electricity. -Internet Service Provider error – You would have to phone up your ISP and detail the error you are experiencing. -Stolen Password – You would have to call your ISP and detail them how you feel your password has been stolen. - Software Corruption – You would have to call up the Company and detail the situation you are experiencing.
