Our New Rotary Foundation

Rotary Foundation Mission Advance understanding, goodwill, and peace through the support of education the alleviation of poverty and the improvement of health,

Areas of Focus Peace and conflict prevention/resolution Disease prevention and treatment Water and sanitation Maternal and child health Basic education and literacy Economic and community development

District Qualification District MOU with TRF after Oct. 1, 2012 Financial Management Plan Annual Financial Assessment Bank account Requirements Reporting method on use of Funds Document Retention Method of Reporting and Resolving misuse of Funds Plan for Club Qualification

Club Qualification MOU -Terms Of Qualification Club Leadership Responsibilities Financial Management Document Retention Plan Report on use of Funds Method of Reporting and Resolving misuse of Grant Funds

Club Terms of Qualification Qualification is for a one year period Club assumes responsibility of Grant Funds Club must disclose any potential Conflicts of Interest Club must cooperate with District and RI audits Club must be a $100 per capita Club

Leadership Responsibilities Appoint Club Member to manage Club Qualification Procedures for proper Grant Management Establish succession plan for transfer of Grant Records Insure retention of Information and Documentation PE or designate must attend a grants workshop

Financial Management Club must maintain a bank account used only for TRF Global Grants Low or noninterest bearing May not be deposited in investment funds Two Rotarians must be signatories

Financial Management (cont) The Club must create measures that include: Record of all receipts Disburse Grant Funds as Appropriate Maintain separate statements of income and expenses Maintain general ledger that separates funds(projects) System to control equipment and other assets Plan for transfer of bank accounts if change in leadership Insure all grants activities follow local law.

Document Retention The club must create a document maintenance system for minimum of five years Documents relating to Qualification Record of policies and procedures required by the MOU Documents related to Grants Documents must be stored in a know location that is accessible to Club Rotarians and TRF

Reports The club must report on the use of grant funds as outlined in the terms and conditions for RI District Grants and Global Grants The club must report any potential misuse or irregularities in grant-related activity to the District

Grant Management Proper financial control Meet defined needs Fulfill objectives Safeguard donors’ funds

Applying for Global Grants Submit grant proposal and application through Member Access Must meet goals of area(s) of focus Must be sustainable Minimum project budget of $30,000 (US) District must confirm club is qualified

Evaluation Both during and after completion Based on goals set for the project Assists with reporting requirements Use findings to improve future projects Identify successes you can promote

Stewardship Rotarian supervision of project Follow business practices Report irregularities to TRF Implement project as approved Financial records review Timely report submission
