Facilitation Instructions Objective: To guide a group through the process of designing a community engagement strategy and the pre-planning decision required. Instructions: 1.Present slides Allow lots of time for answering questions, engaging in dialogue and decision making. 2.Slides 6-8: Ask participants for more ideas to add to the strategy lists 3.Slide 11: re-create sorting square on flipchart. Use sticky notes to enable you to move and change your thoughts with discussion. 4.Slide 12: consider printing this off for small groups to work on. Then combine ideas in a larger group dialogue. “…the nature of participation must be an ongoing effort. The way individuals will be involved is not a one-shot deal …it must be looked at on many levels throughout all stages of development.” Smyth & Dewar (2009)

Engagement for What Purpose? InformConsultInvolveCollaborateEmpower This spectrum of participation shows an increasing level of impact. What is the purpose of your engagement efforts?

Inform-Consult-Involve START your engagement in the first half of the public participation spectrum. If your goal is collaboration or empowerment, know that it takes trust and time, so begin (with transparent intentions) your engagement with informing, consulting or involving.

Inform PurposeProvide people with balanced, objective information. Benefits First point of contact Awareness raising StrategiesMedia (newspaper, tv, radio, billboard) Website Social media activity (posts, banners, blogs, podcasts) Mail-outs Posters Newsletters Event (with audience)

Consult PurposeGather feedback. Benefits Acknowledge people’s experiences Learn from various perspectives StrategiesFocus Groups Public Meeting Surveys/Polls/Suggestion box Interactive Display Open Space Study Circle/Book Clubs Community Mapping Visit or Guided Tour

Involve PurposeWork directly with people throughout process. Benefits Ensure needs/wants understood and incorporated Ongoing relationships StrategiesRegular and ongoing interactions (see consulting list) Action-based Event Inclusion on committees Advisory committees

To whom are you targeting engagement efforts? What level on the spectrum makes the most sense? Impact Dialogue #1

Checklist of Engagement Considerations  Quality & quantity of engagement  Time requirement for you  Effort required by you  Feelings evoked (welcoming, included, arms length, data driven, empty promises, suspicion ect…)  Trust (anyone already connected?)  Cost  Barriers of Access to overcome including language, accessibility, child care, timing (when), transportation

Choosing a Strategy Low Impact Hard High Impact Hard (eg. expensive, time consuming) Low Impact Easy High Impact Easy Sorting Explore the strategy ideas listed (and others) to help decide the best method by sorting them. Use sticky notes on flip chart for ease and movability!

Designing the Plan What community partners should be involved? How? What resources are needed? What is the timeline? How will our success be measured? How will we respectfully follow up and/or sustain our engagement?

Describe your capacity and commitment before moving forward with this engagement plan? Impact Dialogue #2
