23 mars 2004 How to develop a European research project - Consortium THINK BIG Jonas Röttorp Swedish Environmental Research Institute

23 mars 2004 Key-words FP6 Critical mass Integration Think Big

23 mars 2004 Preparation- Be almost obsessed developing your idea Idea –Expand your idea-Think Big- how can other partners and skills improve the project on a wider horizon

23 mars 2004 EU research/ National traditional research Develop your research ideas towards commercial ideas- commit an exploitation partner to the project Identify clear roles for each partner- no overlapping

23 mars 2004 Partners-preparation Minimise the number of partners needed for the consortium- Critical mass Ask all partners to contribute to the application- exclude partners who do not contribute

23 mars 2004 Communicate with the Commission and ask for advise Contact the different scientific officers and send short outlines of project to get an opinion of partners and project outline –National –Brussels

23 mars 2004 Development of a application Ask all partners to contribute!! Make sure you have enough resources as a co-ordinator to develop a good application- in combination with spendable spare time WP-leaders develop the WP early –Short description of work –Tasks –Deliverables –Duration and manpower Partners description early-check also special skills

23 mars 2004 Project Management Commitment with your organisation Split the work on Administrative and technical management Use risk management as a tool for project management

23 mars 2004 Management Financial routines- distribute to your partners Compile financial reports for the whole project Administrative management- Develop templates, reporting routines and CA- be tuff

23 mars 2004 Risk management Identify risk events Score the risk events on: Probability of occurrence, impact if it occurs, controllability of the event. Develop a actionplan of the 10:highest risks Let all partners identify and score the risks independently Risk manager evaluate the risks prior to the management meetings

23 mars 2004 Administrative management Develop an homepage for internal use!!! Templates for ppt, minutes technical reports, deliverables etc. Contacts to reach all partners: etc Document administration

23 mars 2004 Technical management Communication!!! – ok, phone better, physical meetings best Make sure that the WP leaders understand their responsibility, prepare the technical annex and the CA carefully, arrange a physical meeting prior to negotiations Make sure that minutes have higher priority than the technical annex Make sure that the partners understand that EU-research has commercial aspects.

23 mars 2004 Negotiation- phase

23 mars 2004 Negotiation Analyse the allocation of resources carefully on the original application- Discuss with partners and their budget Normally EU cut the budget/ explain at the meeting that you need to cut on expectations on project

23 mars 2004 Negotiation Read through the application very carefully Make sure you understand all partners contributions to the application After received the ok, from EU on negotiations, call your scientific officer to find out more details about the EU opinion of the project- ask the SO how he would like to arrange the meeting, who should attend?

23 mars 2004 Negotiations Prepare slides on presentation of your project Prepare different ideas to resolve the negotiations Be tuff and do not agree to carry out anything if it is not reasonable Remember that you as a co-ordinator have the overall responsibility and the power to to implement necessary changes

23 mars 2004 Negotiations Make sure you do not give to much alternatives to all partners on budget allocation- decide yourself!!!
