VTLS Inc. Codified Innovations: Data Standards and Their Useful Applications A Vendor’s Perspective By John Espley VTLS Inc. ALCTS Symposium January 14, 2005

VTLS Inc. OVERVIEW Functional Requirements for Bibliographic Records (FRBR) Electronic Resource Management Systems –VERIFY

VTLS Inc. FRBR FRBR and Continuing Resources (CR)? Work, Expression, Manifestation CONSER Taskforces “Family” of Continuing Resources –Super FRBR Record Linking fields

VTLS Inc. Super Work Example Atlantic Monthly –Five title changes (1857, 1932, 1971, 1981, 1993) –11 bibliographic records in OCLC

VTLS Inc. Each of the five basic titles in the “family” of Atlantic Monthly is a “sub-work” under the Super Work.

VTLS Inc. Each work has a linking field such as Continues or …

VTLS Inc. Continued by

VTLS Inc. The Expression level record has fields in for frequency.

VTLS Inc. This the Manifestation level record which has information like the title page, imprint, LCCN, and ISSN.

VTLS Inc. Another Manifestation. In this case the microform edition of the latest incarnation of Atlantic Monthly.

VTLS Inc. The fully expanded tree that shows all of the Works, Expressions, and Manifestations. There are 11 Manifestations which match the 11 original OCLC records.

VTLS Inc. What happens when you search for Atlantic Monthly?

VTLS Inc. The result set is a list of the records: Works and Manifestations which have the title Atlantic Monthly in them. Selecting the second entry, a Manifestation, results in …

VTLS Inc. The tree expanded to the selected record.

VTLS Inc. Notice that at some point Atlantic Monthly absorbed two other titles. If you click on the hyperlink for Putnam’s magazine …

VTLS Inc. You get a result set of records that have the title of Putnam’s magazine in them. If you select the last entry on this screen …

VTLS Inc. You get a FRBR tree that displays the “family” of records for Putnam’s magazine.

VTLS Inc. Selecting any of the Works displays the information about that Work and expanding the entries will display the Expressions and Manifestations

VTLS Inc. If we had clicked on the hyperlink for Galaxy (instead of Putnam’s) …

VTLS Inc. Again, a result set since more than one record has the title, Galaxy, in it. Selecting the third record, …

VTLS Inc. Results in a non-FRBR record since there is only one record for the title Galaxy. There is no “family” of records.

VTLS Inc. Questions/Concerns Linking fields IFLA Working Group on CR Need clearer, fuller definitions of WEM Need to look at MARC tag mappings Rules for Super Works Can FRBR work with CR?

VTLS Inc. What is ERM? Electronic Resource Management system “Aggregator” databases of electronic journals Ebsco, Gale, Proquest, Wilson, OCLC EBSCOhost has over 1400 different e-journals Many different plans all with different costs and license agreements

VTLS Inc. ERM An ERM should help a library manage –Cost information –Payment information -- including invoice/payment check numbers –Length of the agreement -- including starting and ending dates –Modes of access supported and any restrictions –Links to resources or metadata records –Copyright restrictions –Contracts and Licenses –The relationship between aggregators and publishers –Registered IP addresses –Holdings information

VTLS Inc. VERIFY VERIFY is based on DLF’s Electronic Resource Management Initiative Deliverables – estudy/dlfdeliverables/home.htmhttp:// estudy/dlfdeliverables/home.htm –“Problem Definition/Roadmap” is a good overview –Report of the DLF Electronic Resource Management Initiative Appendix E: Electronic Resources Management System Data Structure –Over 400 data elements grouped into 25 Entities

VTLS Inc. This diagram shows the hierarchic organization of the data. The records here show all the entities and their attributes – in that sense it is self documenting. Details of the title entity are shown here.

VTLS Inc. The Acquisition entity and its attributes shown here.

VTLS Inc. Under the Acquisitions Entity sits the Access Information Entity. This screen shows the attributes of this entity.

VTLS Inc. So far we used the system to document itself. This is a record in Verify showing the entities for an ERM record from EBSCOhost. Notice the hypertext link for organization.

VTLS Inc. This is a display of the same record as shown in the last slide. It shows all the titles that are available from this Journal Service. The title of interest is Science Education. See the ERM links at the bottom of the screen. They link back to all suppliers of this title.

VTLS Inc. The same information can be accessed by a title search. Search on Science Education

VTLS Inc. We get a FRBR record for Science Education. Notice it is the same manifestation as before. If you Click on second ERM Link you navigate to …

VTLS Inc. The ERM record.

VTLS Inc. We are returning to the original Record and this time we will Click on the third link.

VTLS Inc. This record shows that there is another subscription which also includes the journal Science Education.

VTLS Inc. Back to entities and their attributes – this display shows the Processing work flow entity. The record also has a trial entity shown in the next slide

VTLS Inc. Here is the Trail Entity. The attributes show the begin and end date of the trial to be run for this subscription.

VTLS Inc. Editor for ERM Records

VTLS Inc. Shows the ERM workforms that are available for record keeping.

VTLS Inc. An empty workform

VTLS Inc. The workforms allow users to add additional attributes (data elements) that are supported by the software but do not appear on the workform.

VTLS Inc. Search choices in the Verify client
