Student Information System (SIS) Updates Deborah Gilliam TDASC September, 10, 2015

Statewide Student Management System: General We survived the first year of multi-vendor implementation!! Vendors met requirements for DOE invoice payments DCS resolved data conflicts impacting 60+ districts Districts survived year-end rollover with a few glitches Districts “approved” numbers on the funding website

Statewide Student Management System: General School Year 102 state hosted districts –One vendor change –One new state hosted district started much more calmly!! –Vendors hopefully have better understanding of TN reporting/extract process Restage (all)/20-day periods auto calculate & adjust (4/5 vendors)/SPED data exchange automated (all) SIS vendors asked to do more front-end data validation –Districts hopefully getting more comfortable with their SIS Continue to work in RUG (state and non-state hosted) EIS now processes extracts daily Mon – Fri for all districts –Automated process for state hosted districts –All changes in EIS (all extracts should be on except new 016)

Statewide Student Management System: General **THINGS TO REMEMBER** Enhanced data entry is a last resort to fix errors –Data should be corrected at the source – in your SIS –If SIS allows you to overtype data and they do not send deletes – vendor needs to fix this annual cost payment process –Based on funded ADM counts –Vendors invoice districts for district share on/after August 1 –Vendors invoice DOE (subsidy) on/after September 1 Azure access issues should be reported to your vendor –Vendors have admin access to state-hosted environment –Vendors notify DOE if assistance needed

Dashboard Implementation Status Dashboards Dashboards for 30 districts in production by June 30, 2015 to meet USDOE requirements –Wave 1 districts with dashboards in production Currently building dashboards for 70 remaining districts –In order to provide consistency and history for all state hosted districts –Wave 2 district’s production builds in progress (66/70 all interchanges loaded) –DOE will load assessment data Missing/dirty data for all 100 districts – data clean-up critical Close out dashboard year once all 100 state hosted districts in production (tentatively mid September)

Dashboard Implementation Status Wave 1 and Wave 2 districts by vendor: bold

Dashboard Implementation Status Dashboards Open dashboard year (rollover tentatively targeted mid to late September) Load data and build dashboards for all 102 state hosted districts – dashboard data becomes history (attendance, discipline, grades, assessment) –Data clean-up critical –DOE load assessment data –Provision accounts for “live” access –Tentatively complete by end of December Once all 102 state hosted districts completed with “live“ access, vendors may build dashboards for interested non-state hosted districts (Wave 3)

Dashboard Implementation Status Dashboards and Beyond Going forward – rollover to new dashboard year to occur sooner –Data transactional Historical data builds with each new year –Two years of historical data by (with assessment data) (with assessment data) **Note Friday session on Educator Dashboard**
