RTI Jammu4 Written communication Writing is an extension of your responsibility. It is hard work, requiring enormous patience and rigorous practice. The ability to communicate effectively is one of the greatest assets anyone can acquire

RTI Jammu5 FEATIURES OF WRITTEN COMMUNICATION Often a written communication is the only link between the writer and the reader In written communication there is no effective substitute for gestures, facial expressions and modulation of voice which makes oral communication vibrant.

RTI Jammu6 CHOICE OF WORDS AND PHRASES Choosing the right words and phrases is the first important step in writing. Words have different meanings in different contexts.

RTI Jammu7 Some do’s Prefer concrete to abstract words. Prefer specific to general words. Prefer plain and familiar to long and unfamiliar words

RTI Jammu8 Some do not’s Avoid clichés Avoid excessive use of jargon Avoid using foreign words and phrases Avoid redundancy

RTI Jammu9 SENTENCE STRUCTURE AND LENGTH Don’t use a word which does not perform any function. Provide the desired emphasis by placing words/phrases in the proper order. Avoid monotony by varying the structure and length of your sentences To attain variety place a short sentence in the midst of several long ones or occasionally begin a sentence with a verb or phrase instead of a subject. Read your sentences aloud to discover whether they are too long or too short and then make the necessary changes.

RTI Jammu10 PARAGRAPH STRUCTURE AND LENGTH Four functional categories :  Introducers  Developers  Modulators  Terminators

RTI Jammu11 Paragraphs. To check the effectiveness of a paragraph take the following steps: Ensure that the location of the topic sentence gives proper emphasis to the thought. Examine the transitional devices, if any, to see whether they smoothly lead on to the new thought. Check whether all the sentences deal with the topic under discussion. Ensure that all the sentences are properly linked and logically arranged.
