WGISS Infrastructure Task Team (WITT) Report/Proposal WGISS15/SG14 Meeting Toulouse, FR May 2003

History At the last WGISS and SG UofHawaii & Alexandria, respectively; I unwisely pointed out that WGISS/SG’s “backoffice” could benefit from some additional organization. WGISS, as smart as they are, immediately noticed my miscalculation in pointing this out, jumped on the opportunity and directed me to develop a plan to put some structure and organization to the internal operations of the WGISS. I accepted the challenge and made a mental note of my mistake for later reference. Hence the birth of the WGISS Infrastructure Task Team

Goals of the WITT Develop a Term of Reference (TOR) for a new Task Team, now called the WGISS Infrastructure Task Team (WITT) Review current web pages for both WGISS and the SG and make recommendation to improve. Develop a new web page to reflect the new SG organizational structure. Develop a plan to capture meeting results and make available via the web site. Develop a plan for Mailing List support, DNS and web site naming convention. It has been decided by the WITT Lead (Jeff) that CII will not be covered under the WITT startup phase. CII will be addressed after the WGISS/SG effort has been put in place.

Major Sub-Tasks Conference Support –Pre-, during and Post- support –Presentation material gathering Web Site –Hosting –Content Mailing Lists and DNS –Mailing list maintenance –Access Authority

Conference Support 1/4 WITT will provide a guidelines document/list of minimum support requirements –Facilities 1 plenary room (~50-60 people comfortably) 1 secondary room (~25-30 people): quantity dictated by meeting goals Hotel coordination, logistics and/or information –The host organization will provide a web site for meeting logistics. –A pointer to this web site will be put on the WGISS web site. Computer projector for both rooms Plenty of Power strips Print services (whether via network or disk) Microphones Overhead projector (optional) Anything else??

Conference Support 2/4 WITT to provide a guidelines document/list of desired support requirements –Internet access –WITT will provide a Wireless LAN (router) if Internet access is provided by host and if requested by host organization Detailed list of network configuration requirements will be provided to host organization –WITT will provide Mail Relay Requires IP address of host network

Conference Support 3/4 Conference data capture –The WGISS chair and the hosting organization will be responsible for maintaining the agenda, both draft and final. –At the end of the meeting the WGISS chair must provide the final agenda of the meeting to the WITT secretariat. This agenda needs to be very accurate because the WITT will use this agenda to document the meeting results. The agenda will also be used as a way for people to find a specific presentation via the web site. See for example. –WGISS chair and/or the host organization will provide any presentations above the SG level. –The SG chair/vice-chair is responsible for their SG agenda and for gathering all presentations from their TTs –The SG chair/vice-chair is responsible for an accurate agenda of their sessions. This agenda needs to be very accurate because the WITT will use this agenda to document the meeting results. The agenda will also be used as a way for people to find a specific presentation via the web site.

Conference Support 4/4 Conference data capture (cont) –A WGISS summary of the meeting would be nice to capture the high level results of the meeting. –A SG summary of the meeting would be nice to capture the high level results of their SG meeting. –WITT will provide a USB/portable Memory stick reader and memory stick to WGISS and SG chairs/vice-chairs to gather presentations. –All presentations must be provided in a PowerPoint, Word or Excel type format. –No FTP services at conference will be provided by WITT.

Web Hosting Proposal: –Move the WGISS and SG pages to a Web hosting company. Benefit: –Makes changing of Chairs easier because the outgoing and incoming chairs will not have to move the web site. –Remove any organization specific policies regarding web site hosting (eg. Accessibility, security, etc).

Web Hosting Requirements Web pages (Duh) Storage: support all WGISS & SG information –Document Repository: To save disk space, documents will not reside at the Web Hosting site, but at a server to be defined later. Maybe the WGISS Chair’s site? –Pointers will be provided to Documents –Meeting presentations: See Conference Support Section Mail list support –See Mailing List Section FTP service –Must support in case we host some documents local

Admin –Only WITT Lead’s designated representative, Web Master, and WGISS and Subgroup secretariats will have write access to edit web pages.

Mailing Lists and DNS WGISS and SG mailing lists will be supported by the web hosting company Administrative control provided by WITT Lead’s representative. The mailing lists will be reviewed at each SG meeting The mailing lists will not be made public Requests for joining WGISS and SG mailing lists should be approved by the Chairs or vice-chairs TT mailing lists will be supported by the TT Lead, unless otherwise requested by TT Lead. DNS registration and sustaining support will be provided by the WITT. Naming structure will be discussed the WITT session
