UTAPS: Volunteer Parking Permit Distribution Process Sacramento State

Problem Statement The old process was too cumbersome, from a customer service perspective, for campus volunteers to request and obtain courtesy parking permits.

Objectives Streamline the process.

Solution Implementation

Summer, 2012: volunteers no longer have to drive to Information Booths upon each visit to obtain a daily parking permit. Volunteers are now issued a long- term parking permit, valid the entire semester. Spring, 2013: Volunteers no longer need to fill out multiple forms from different campus departments (UTAPS & Payroll). – Information from multiple forms is now condensed to one document.

Results

Improved customer service. Happier, less disgruntled volunteers. Less vehicle congestion at Information Booths. Less paper consumed per semester. Less paperwork for UTAPS and Payroll staff to handle. Better campus access for volunteers during after- hours and weekends (when Information Booths are closed).

Lessons Learned It is important to periodically review processes and procedures in order to improve efficiency and effectiveness.
