Effective Evaluations January 2008 We’re all here today with a common goal – to become polished public speakers Toastmasters gives us guidelines on how to do this through our speaking projects. One of the best ways to understand our strengths and opportunities for improvement is by receiving feedback on your speech and speaking skills. Toastmasters attempts this through the use of evaluations by your fellow toastmasters. For evaluation of your speech to help you, the evaluation needs to focus on the right information and be delivered in an effective way

Agenda Why do we evaluate? Evaluation essentials Before, during, after the speech Delivering the evaluation After the evaluation Evaluation contents Judging criteria Conclusion Today I’m cover:

Why do we evaluate? Reinforce the speakers strong points Suggest ways in which the speaker can improve Assist the development of the evaluator Assist the development of the audience Feedback is big part of growth process as a speaker Evaluations assist a speakers development Reminds speaker of their strong points. What works well and should be kept Offers suggestions to improve in future – what can you say to help them do it better next time Assist the development of the evaluator How to give constructive feedback Listen Prepare a mini speach Assist the development of the audience By giving feedback, your one of the teachers for the meeting to help everyone improve their skills

Before the speech Show respect for the speakers preparation Read or re-read Effective Speech evaluation, website role description Read the speech objectives, the speech project in full and the evaluation guide Talk to the speaker Read previous evaluations Make prepared list / mind map of areas of focus/goals Important to show respect for the speakers preparation by doing some yourself. Read the effective speech evaluation provided in your New member kit Refer to our Nth Rise site for the role description Provide you with some additional handouts Review the manual project Speech objectives Full project Evaluation guide Talk to speaker What are their habits, weaknesses goals etc Prepared list – got an example mind map on what to look for Also include speakers goals

During the speech Active listening, focus on the speaker Record key points, related to areas of focus or others if they are significant What are the 3 things that the speaker does really well? What are the 3 things that will have greatest impact in making the speaker even better? Active listening Listen as if it is the first time you have heard this speaker Record key points On the list that you’ve already prepared (goals of the manual and personal ones) Write C /R next to them and any key comments At end of speech determine which commendations and recommendations will be most helpful Only focus on these

After the speech Remember timing: 3 minutes Prepare your evaluation, written and verbal –avoid extensive notes Personal opinion Objective, positive and encouraging Opening Introductions Body C = Issue + Why R = Issue + Why + How Conclusion Summary Mini speech – beginning, middle and end and all your speaking skills Introduction – relevant but short, include a review of the objectives and avoid re-telling the speech CRC – Commend, recommend, Commend Conclusion Always look for recommendations (without them you are implying that the speech is perfect) Timing – not long. You can put additional comments on the evaluation form Remember timing: 3 minutes

Delivering the evaluation Address the Toastmaster / contest Chair Personal opinion – talk about the impact the speech had on you I felt , I believe, In my opinion, I noticed Establish rapport with the speaker and talk to the audience Be clear and specific about both commendations and recommendations – avoid “that was a great speech” No “but”s Use examples and make suggestions Avoid clichés – well done, great speech, I look forward to hearing your next assignment Talk to the audience, and also speaker – don’t always talk to speaker. Use examples Eg. Instead of saying “You didn’t use gestures” -> “When you were talking about celebrating your win, you could have REALLY expressed your excitement if you’d thrown your hands up in the air!”

After the evaluation Complete the written evaluation Listen to GE’s feedback to improve evaluation skills Return the speakers manual and ask if they have any questions or comments on the evaluation Check for understanding Check for areas of improvement as evaluator

Evaluation contest Evaluate a 5-7 minute test speech Objectives unknown Can take notes All contestants leave room 5 minutes to prepare evaluation – name it Hand notes to Contest S@A Get notes back when called in to give evaluation

Judging criteria Analytical Quality 40% Recommendations 30% clear, focused Recommendations 30% Positive, specific, helpful Technique 15% Sympathetic, sensitive, motivational Summation 15% Concise, encouraging Lights – green 2, amber 2½, red 3 Disqualification less than 1½ minutes or more than 3½ minutes

Judges will look for A well structured evaluation Opening, body and close A range of speaking techniques Good recommendations Rapport Move quickly in to feedback Clear summation Timing

Conclusion Practice your evaluation skills - ABE CRC method Leave the speaker feeling motivated to do their next assignment Enter the competition
