SESSION TITLE SESSION SUBTITLE Dennis Wilson & Admir Djulovic Eastern Washington University Friday July 31, :10 a.m. – 12:00 p.m. Coeur d’Alene, Idaho

SESSION RULES OF ETIQUETTE  Please turn off you cell phone/pager  If you must leave the session early, please do so as discreetly as possible  Please avoid side conversation during the session Thank you for your cooperation! Coeur d’Alene, Idaho

INTRODUCTION  Show how Eastern Washington University automated our hold process  Hold process runs all of the time  No rules to configure by using non-conditional holds Coeur d’Alene, Idaho

SESSION AGENDA 1. Baseline hold process overview 2. What types of holds we use 3. Why the baseline process didn’t work for EWU 4. How we implemented our process 1. Population selection use 2. Custom view creation Coeur d’Alene, Idaho

BASELINE HOLD PROCESS OVERVIEW  Why use the Auto-hold process in Banner  Process allows holds to go on multiple students under conditions defined by the school  Has a “release” feature as well as a placement feature  Can be based on Account Balance parameters or on aging balance parameters or non-conditional Coeur d’Alene, Idaho

BASELINE HOLD PROCESS OVERVIEW  Create hold rule code on TTVRHLD  Build hold rules on TGAHOLD  Associate the hold type with the rules to be created  Three options  Non-conditional  Account balance rules  Aging rules Coeur d’Alene, Idaho

BASELINE HOLD PROCESS OVERVIEW  Develop any population selections on GLRSLCT  Run population selection process GLBDATA  Run Auto Hold Release Process TGPHOLD  Can run with or without population selection  Option to run in sleep/wake mode Coeur d’Alene, Idaho

WHAT TYPES OF HOLDS EWU USES  Financial holds  F0 – All students with balances between $ and $  F1 – All students with a balance > $  F2 – All students with balances > $0.00  FI – International students with balance balances > $  FP – Financial aid prior year hold for balances > $  Other Academic holds Coeur d’Alene, Idaho

WHY BASELINE PROCESS DIDN’T WORK FOR EWU  Population selection cannot be run in sleep/wake mode  Multiple populations of students that need holds  If running TGPHOLD in sleep/wake mode it makes using population selections impossible  Not all balances are calculated based on the same date  Not all holds are balance based  EWU uses complex population selections Coeur d’Alene, Idaho

WHY BASELINE PROCESS DIDN’T WORK FOR EWU  Turned out to be a lot of maintenance for each rule that we needed  Wanted a better way to accommodate all of our needs with different populations of students Coeur d’Alene, Idaho

HOW WE IMPLEMENTED OUR PROCESS  UC4 (Application Scheduler) and custom view were key in order to implement what we wanted Coeur d’Alene, Idaho

HOW WE IMPLEMENTED OUR PROCESS  Gave task to Admir and he did it.  The end!!! Coeur d’Alene, Idaho

JUST KIDDING – HERE IS WHAT WE DID  Population selection limitation  Created all population selections under a specific Banner ID for SFS  Needed to join different tables  Calculate balances at the same time  Can only have 1 sub-query in population selection Coeur d’Alene, Idaho

HOW WE IMPLEMENTED OUR PROCESS  Created rule codes and associated the proper hold types and made them all non-conditional  Created a view to accommodate our needs  View calculates balances up to the current term based on dates  Current term active on the 15 th day of the quarter  Use UC4 software to run on our chosen cycle  Every 15 minutes we place and remove holds Coeur d’Alene, Idaho

HOW WE IMPLEMENTED OUR PROCESS  Processes to run in order to place and remove holds  TGRAPPL  GLBDATA  TGPHOLD Coeur d’Alene, Idaho

HOW WE IMPLEMENTED OUR PROCESS Coeur d’Alene, Idaho

HOW WE IMPLEMENTED OUR PROCESS Coeur d’Alene, Idaho

SESSION SUMMARY  Minimum to no maintenance – it just works  No need to use baseline balance or aging calculations  Can use process to place any kind of hold  Build good population selections  Easy to set up on application scheduler Coeur d’Alene, Idaho
