New Background Check Process February 2014

2 Agenda  Current state  Where we are going/Improvements  Things to know  System demonstrations  Questions?

3 New Background Check Process  Current state  Current vendor: Pre-Employ  Volunteers often confused by need to go to external website  Volunteer Administrators must use an external website to process checks and review results  Results must be transferred manually into Volunteer Connection

4 New Background Check Process  Where we are going  New vendor: Asurint  Tighter integration of two systems will improve the intake process for both volunteers and administrators  The same process may also be used for Driver’s License and Professional License checks

5 New Background Check Process  Improvements with new process  Volunteers will never “leave” Volunteer Connection  Administrators can process background checks directly in Volunteer Connection  Results will automatically update in Volunteer Connection

6 New Background Check Process  Things to know  New access levels:  Volunteer Connection Background Check Administrator  Asurint Administrator  Results: Green, Yellow or Red  Additional details in FAQs on Zendesk

7

Conclusion Demonstration of volunteer screening background check process for prospective volunteer

9 New Background Check Process  Ordering a New Background Check  Driver’s License  Professional License  Volunteer Screening (e.g. Youth turning 18)

10

Conclusion Demonstration of ordering a new background check

12 New Background Check Process  Exempt or Other Results  Exempt – for Youth and some Partners  Other– if needed to enter a volunteer screening check from the previous system  Enter directly into the Member Profile

Conclusion Demonstration of exempt background check entry for prospective youth volunteer

14 New Background Check Process  Event-Based Volunteer Screening Background Checks  Will process automatically  Will show in the Background Check Queue, but do not require any action  Staff Services will receive additional training

15 New Background Check Process  Next Steps  Review the FAQs (Zendesk)  Review timeline/checklist (Zendesk)  Asurint training later this week  New quick reference guides will be posted on Zendesk  Recording of this training session will be posted on Zendesk

Conclusion Questions

17 Appendix  Access levels  Volunteer Connection: new access level for Background Check Administrator  Access Background Check Queue, process/cancel orders  Order new background checks  Asurint: Administrator  Two people from each region will have access  View details of background check results in Asurint system  Determine clear (Green) or fail (Red) for any initial Yellow results

18 Appendix  Scoring of Results – Initial (from Asurint)  Green – clear, no issues found  Yellow – issues found, needs review in the Asurint system (WebEx demonstrations later in the week)  Note: these apply to all types of checks

19 Appendix  Yellow results  Asurint administrator logs into Asurint system via The Exchange  Determines if the issues will prevent the volunteer from joining the organization or not  Volunteer Resources at NHQ can provide additional guidance on making this determination  Set a “final” result for the order as clear (Green) or fail (Red)

20 Appendix  Scoring of Results – Final  Green – no issues found  Green* - issues found but Administrator determines volunteer eligible  Red – issues found, Administrator determines volunteer not eligible
