Credit Cards Each new troop gets 1 credit card reader – this becomes part of their troop financial items. Returning troops should still have a reader – if it is lost they can purchase a new one by calling the Product Sales Hotline. In your bag at the end of the day you will receive a sign-out sheet for the readers – when a troop is given a reader you need to have them sign and date the sheet This sheet MUST be turned in with Final Paperwork – council will keep record of troops that received a credit card reader Directions can be found on the GSCI website by January 1. – girlscoutsindiana.org

Delivery – Overs and Shorts Pg. 30 Council will only correct shortages at Delivery through Wednesday, February 10, 2016. At Delivery EVERY troop will receive a half sheet of paper making them aware of this You should train your troops about this at your Cookie training If a troop does not call the Cookie Hotline to report and correct their overage/shortage by Feb. 10, 2016 they will be responsible to pay for the cookies they signed for at delivery.

Cupboards Pg. 31 New this year: Help troops locate cupboards near them on pages 33-37 of the Troop Manual! Things to train your troops on: Initial orders CANNOT be placed in a cupboard Person picking up for troop MUST have a troop access card OR eBudde login and password (for online order pickup) Call, Text, or Email in advance – Troop Manual notes which form of contact each cupboard prefers Single packages will be available from the start of cupboards being open Damaged packages/cases will be replaced with like variety only Many locations are volunteers – please be courteous and thank them for all they do! New this year: If a cupboard order is NOT picked up within 3 days it will be deleted

Cupboards – Entering Online Orders Pg. 32 ON THE TRANSACTIONS TAB:

Cupboard Hours Cupboard hours are not in the Troop Manuals this year Troops will be able to pull a Cupboard report that has the hours listed after January 15th on their reports tab Council will also send an eBudde blast with the report attached and directions on how to pull this report This will ensure cupboard hours are more accurate. Print deadlines are mid-August and so much can change by February that we wanted to ensure there was less need for changes Be sure to stress that is to make the cupboard hours more accurate because print deadline is in the summer.

National GS Cookie Day Pg. 33 Setup a hot spot or non-hot spot cookie booth during the weekend of February 26. Be sure that it is in eBudde! Promote the Cookies for a Year program at your booth Promote Operation: Cookie Drop at your booth Take a photo and post it to the council’s Facebook page. Order your patches with your recognitions at the end of the sale. (1 per selling girl)

Booths Pg. 34 Two Types of Booths: 1. Hot Spots – scheduled by council at locations 2. Non-Hot Spots – scheduled by troop – can be at any location not on hot spot list When? Hot Spot Booths take place beginning the weekend of February 7 through the weekend of March 14. Non-Hot Spot Booths can take place any time between the troop picking-up cookies at delivery until March 16 when ALL money is due in the bank.

Booths – Where? Pg. 35 The following Locations are Hot Spot locations. These are set up by council and troops sign-up for them via eBudde (see pg. 40 Troop Manual): Troop Manual References: Pg. 40 schedule for when to sign up for hot spot booth Pg. 42 How to sign-up for hot spot booths Pg. 42 how to cancel a hot spot booth Pg. 44 how to sign up for non-hot spot booths

Blue Ribbon Booths Each Cookie Manager will receive 5 certificates and 10 stickers in late Jan/early Feb. Use these to challenge your troops – hand out a small prize to any troop who brings on to the next Service Unit meeting! (remember other cookie volunteers will be handing them out too) Hand them out when you see an exception booth Doing the right things Girls asking Dressed appropriately No tagalongs

Transferring Cookies Pg. 47-48 Troops are responsible for any and all Girl Scout cookies they check out. This may result in troops transferring cookies toward the end of the sale to troops in need of cookies in order to get rid of extra inventory Refer to pg. 38 in the Troop Manual to train your leaders on how to transfer cookie from troop to troop Receipts are a MUST Troop GIVING the cookies puts the transfer in eBudde

Banking Pg. 39 -41 Banking should be done on the following timeline: - Feb 22 (25%) - March 7 (50%) - March 14 (100%) Use ONLY deposit slips assigned to the troop - If additional deposit slips are needed, please have the troop call the Cookie Hotline. - List each check individually on a deposit slip. - Do not add 2 deposit slips together. Make a different deposit if you need more lines. - Make sure - The troop should ALWAYS keep a copy of their deposit ticket and receipt for their records! refer to pages 49-50 in troop manual

Rewards Pg. 42-47 Girls earn rewards based on the highest level they achieve New this year! – Camp Dough is now known as Council Credit Some levels have been adjusted – check out the structure and make yourself familiar with it  Take a moment to look at the rewards before you leave today Service Unit Rewards Order due by 11:59 p.m. on March 21, 2016

Checking/Submitting Rewards Pg. 48-50 Check the Girl Orders Tab and Rewards Tab for EVERY troop as you proof their Final Report Envelopes When to Proof: March 16-22 THINGS TO CHECK: 1. Girl Orders Tab: check that ALL packages of cookies are distributed 2. Rewards Tab: check that all choices are made - if a troop earned t-shirts make sure the sizes are filled out - if a troop earned concert tickets make sure they filled out the proper boxes Service Unit Rewards Tab – this is where you will submit the ENITIRE service unit No P.O. Boxes

When it arrives Pg. 51 You will receive 3-4 shipments: Little Brownie – main bulk of items (late April) Mr. D’s Tees – T-shirts (late April) Hair bows – Early May GSCI –National Girl Scout Cookie Day Patch, Operation: Cookie Drop patch (Mid-May) These may come all together or in 2 separate shipments depending on arrival to council If you are over or short contact the Cookie Hotline to correct the issue. Will need to know if missing from report or missing from shipment GSCI – tents – will send information about how they will be dispersed once they arrive to council GSCI – kayaks – council will make arrangements directly with the girl and her parent for delivery Posh Paks/Theme Park Tickets/Council Credit – all mailed to the girls 1000+ & 2000+ items are handed out at Girls of Distinction Trips – girls will receive a mailing in mid-April Check for accuracy – print of the Troop Rewards Summary (Final) Report from your Reports tab

Final Reports Pg. 52

Final Reports Pg. 52 Troop Final Reports are due to you by Wednesday, March 16. Check that the Final Report matches the troop sales report Money and the form must be enclosed for t-shirt and concert tickets or they will NOT be ordered. Call a troop if this is missing. If a troop owes any money at all, call them and ask them to make a deposit. If a troop owes any money at all and does not make a deposit, write them up for an outstanding debt. (pg. 53 & 54) Do NOT hold your service unit’s envelopes for troops that have not turned in. You need to turn everything into council by March 22 If mailing 2 things need to happen: 1. You HAVE to mail directly to the Indianapolis Service Center (audits occur here) 2. You must notify the cookie office on what date and from which post office you mailed it.

Outstanding Cookie Accounts Pg. 53-54 An Outstanding Cookie Account form should be completed for any parent and/or troop cookie manager owing money. Any parent or troop cookie manager that owes money to council will have their daughter’s high end rewards (600+) held until the debt is paid in full. A troop should turn in all parents owing money – we don’t want the debt to fall back on them. Be sure that the troop has enclosed all receipts and important documentation – we must have these in order to prove the debt and collect from the parent! After a Final Report is turned in, do not accept money from a parent – direct them to the Product Sales department to make arrangements to pay.

Handling Previous Debts A girl should never be told she can not participate because her parent has had a debt. Parents can pre-pay for their cookies. They do NOT collect from customers up front. They must front the cost out of their pocket. Once they pay for cookies, the cookie manager can then sign them out to them. The parent can then come back and buy more as needed. Troop leaders can check out cookies in small increments to the parent. Once the parent pays for that small batch then a second small batch can be checked out. So on and so forth.

Cookie Debt Process…Things to Know All Final Report Envelopes are looked at individually during an auditing process. This usually takes about 1 week to go through everything. After this process, all envelopes that have a “problem,” (i.e. do not balance to $0.00), are gone through during a second audit process. During the second audit, refunds are filed with accounting. Troops due a refund will receive these refunds sometime in May or June. Also, troops and parents that owe money to council will be placed in a spreadsheet. This spreadsheet will be used to generate letters about the debt. 2 Letters will be sent to parents and/or troops owing money After the 2nd letter, troops and/or parents will be sent through our collection process and released as a volunteer.

Warning Signs for debt… No deposits are being made by the Troop leader Troop Leader is unreachable by phone, text or email Rumors that leader may be leaving in May Rumors that the leader is moving out of state The troop doesn’t have a bank account

What To Do…. If you believe a troop may have a debt issue at the end of the sale please notify the Cookie Hotline or your Product Sales Manager ASAP The Cookie Office/Product Sales Manager will involve those in the office needed to be proactive and help try to diffuse the problem Keep record of all communication with the leader If at the end of the sale there is a debt please follow the directions on how to fill out and turn in an Outstanding Cookie Account Form

Family Mailer In early January families should receive a parent mailing that highlights parts of our Girl Scout Cookie Program! –5 Skills, Important Dates, Highlights some Rewards, and the purpose of receipts. This will also include an order card – they should not begin receiving these until after the sale starts, BUT let troop leaders know it is coming so they can reinforce the start date in case they arrive earlier than planned
