Revised Student Database  Two ways to submit data Export file of Revised Student Database Excel file received from PSU

Export file of Revised Student Database  Update static file sent December 1, 2001 Update exiting Items (fields 18 & 19) Add Students that should have been included on the December 1, 2001 file.

Excel File Received from PSU  Update Exiting information (Items 18 & 19)  All other data cells will be locked  Add Students that should have been included on the December 1, 2001 file at the bottom of the file.

Tables 1-7  Tables 4 and 5 have changed from last year  Due Date: July 12, 2002  Naming Convention: Table*_IU**_Date.txt * equals which table sending (1-7) ** equals IU number Date equals Month Year (example –July2002)

Sign Off Procedure  Revised Student Database Verify 1  Age by Disability  By IU and School District Verify 2  Disability by School District  Tables 1-7 Each Table will be sent to the IU for Verification  At the request of an IU, PSU will send a verification file that includes: Student ID, Last Name, First Name, Birth Date, and Disability

Things to Remember  Due Date: July 12, 2002  Naming Convention: Student_IU**_Date.txt ** equals IU number Date equals Month Year (example – Dec2002)  How many students are you adding?  The files should be zipped into one file Naming convention - IU**_Date.zip ** equals IU number Date equals the date the file was sent (example – July122002)  Do not update any data items except Items 18 & 19  IU is responsible for the accuracy of their data

Export Specifications  General format of data files Standard ASCII comma-separated variable (csv) file 30 data fields for each record (29 commas) No blank rows Each line should be terminated by a carriage return/line feed combination (No extra spaces) Naming Convention: Student_IU**_Date.txt ** equals IU number Date equals Month Year (example – Dec2002)

Export Specifications  Reminders December 1 count includes those students who have a current IEP and are receiving services as of December 1 – includes children ages 3-21 Revised December 1 count Records of students who should have been counted on December 1 and were missed Students reported on December 1 and have exited special education

Edit Checks No quotes No parenthesis Middle Initial is only one character (no periods) Nicknames are not allowed in first name field Format date fields as mmddyyyy

Edit Checks - Continued Include leading zeroes If child is in EI then data items must be complete If disability is gifted then type of service must be gifted If student is 16 or older they must have Transition unless gifted
