CS – Phase 2 Status report April 15, 2015

Today’s objectives What is Phase 2 Phase 2 status – what’s been done What’s left to do Bottom line Q/A

What is Phase 2 Complete all items on the master task list signed last Fall 448 tasks as individual line items Skills/knowledge transfer, customizations, reports Complete skills and knowledge transfer from Sierra Cedar Functional training – groups and 1:1 Technical training – ITS security and development teams Sign off process from campus participants Consultants leave on or before July 31 Complete several reports and customizations 70 approved customizations 187 critical reports 1456 of 1753 reports were deprecated

What’s been completed Reports – 54 critical reports Customizations – 20 completed and installed 57% of skills transfer sessions completed, more than 50% signoffs Bolt-ons/interfaces 14 bolt-ons (e.g. Gator Scheduler) 9 interfaces (e.g. Library, Bookstore, Parchment) Organizational and process adjustments Web and development teams led by Arlene Allen Project intake, tracking and release process moving forward ITS restructuring and focus – campus partner to enable technology solutions Governance changes – CSOC, CS Executive Committee

What’s ahead 133 critical reports to complete 50 mods/customizations to complete Responses and changes arising from change management review Training support initiative – CSOC, Brian Beatty Prioritize pent-up demand – customizations, features, response to campus feedback Begin data warehouse/business intelligence project Launch mobile applications Increase and strengthen technical and business analyst staffing

Bottom line CS project most complex and challenging system implementation Basic system functionality works Crisis/incident response is working Many features missing without SIMS, many new ones in CS Large number of customizations and reports to complete post- Phase 2 Campus leadership commitment to move forward with continuous improvement and enhancements Thanks and appreciation to dozens of smart, dedicated, critical thinkers who worked tirelessly to make this work Brian Beatty’s observation:

Brian Beatty “One of the most important things we’ve done is lay a foundation for much better data-based decision making and process support for the future. We’ll have the opportunity to develop analytics that will help us to help students and faculty better with teaching and learning. “We have the opportunity to continue with collaborative data system governance if we choose to do so. I don’t think we’ve ever had such extensive/comprehensive long term collaboration among the entire campus community. The opportunity is here, but we have to choose to continue on this path in order to leverage our experience with new ventures such as data warehouse, BI, CRM and others.”
