Install a public printer Search for a public printer Print securely Change printing preferences Print on both sides Print in color Cancel a print job Install a Public Printer If you know the path of a public printer, you can connect to it directly to install it. If you don’t know the path, use the Add Printer Wizard. To connect directly: Printing is one of the most common work tasks, and can be one of the more expensive business costs. By learning to use printers more efficiently, each worker can help reduce printing costs and save trees. To help you get started using printers more efficiently, this guide will show you how to: To connect to and install a printer using the Add Printer Wizard: Click Start>Printers and Faxes. Click Add a printer. Follow the instructions in the Add Printer Wizard Note Procedural steps may vary somewhat from model to model amongst printers. Change Printing Preferences 1 2 Print Securely You don’t need a private printer to print securely. With secure printing on a public printer, the only person who can see or retrieve a print job is the person who generates it, because it’s protected by a personal identification number (PIN). 3 Go to the printer, and press either the Job Status button or the Menu button (the button name may differ based on the printer model). Select your print job, enter your PIN, and press the Print button to release your print job. Note If you forget to release the job, it will be erased the next day. In the meantime, the job will be stored in encrypted form to prevent others from accessing it. In Windows XP, click Start>Printers and Faxes, and click the name of your default printer. Click Select printing preferences, make the changes you want, and then click OK. 1 2 Click Start>Printers and Faxes. Click the printer name to select it, and click Select printing preferences. Click the Destination tab, and click Options. In Job Retention Options, select Private Job. In PIN, type a four-digit PIN using digits 0 through 9, then click OK until you return to the Print window, and then click OK again Notes If you’ve set print options on the Paper tab of Page Setup in Word, those settings will override any settings you make in Printers and Faxes. Make sure the paper size and paper source on the Paper tab in Word correlate with each other, or your documents won’t print. (When you change the paper size, the system should automatically select the corresponding paper source by default.) Don’t disable banner pages. They identify the owner of each print job. If you disable them, your job may get mixed in with other print jobs. To create a PIN and activate secure printing (for printers that have this feature): 7 Print on Both Sides Printing on both sides reduces paper, which saves money and the environment. For this reason, printers should be set for two-sided printing by default. However, if for some reason you need to set a printer to print on both sides:

Flip on Short Edge—the second page will print the same side up as the first page Tip If you’re printing a chart or spreadsheet (both of which are wider than a standard document), under Orientation select Landscape. Note To activate one-sided (simplex) printing, under Print on Both Sides, select None. Click OK to save your settings, and then click OK to begin printing. On the Layout tab, under Print on Both Sides, click one of the following: Under What do you want to search for, click Printers, computers, or people. Click A printer on the network. The search will default to the building you’re located in. Note Click Browse to find a public printer in another location Print in Color Color printing costs 10 times more than black and white. Be smart when you use color—make sure it’s absolutely necessary. If you’ve added a public color printer to the printer selections for your computer, you can print in color by selecting the print path to the color printer and clicking OK. To search for a color printer: Click File>Print>Properties. Click the Features tab, and select the Can print color check box. Click Find Now. In Windows XP, click Start>Search. 6 In the search results, right-click the printer you want, and click Connect. Cancel a Print Job In Windows XP, click Start>Printers and Faxes. —OR— Double-click the printer icon in the notification area of your display (near the clock). Right-click the name of your printer, and click Open. Right-click your print job, and click Cancel
