American Work ® Corporate Account Reconciliation (CAR) Tool New Validation Load Methods Training Module

Agenda New Validation Load Methods  Module Objective  Pre Training Quiz  Background Lesson 1: Method 1, Replace Lesson 2: Method 2, Add Only Lesson 3: Method 3, Delete Only Post Training Quiz Additional Information

Objective: By the end of this lesson, using the System Administration application, you will be aware of the three methods for loading Validation Files and Look ups. New Validation Load Methods

Pre Training Quiz – You will be able to answer these questions after the training! What are the Load Methods for validation and lookup files? a)Replace, Add only and Delete only b)Add and Delete c)Delete only, or Replace only file of values from existing table of values Which tab do you click on to import your file? a)Tasks Tab b)Files Tab c)All of the above What setting is the default for Loading Methods? a)Replace b)Add c)Delete

Background This training module reviews three new methods for loading values for Single, Combination and User Group Validations and Look ups. Previously there was only one load method, to replace old validation values. Now we have enhanced the replace option and added two new options; Add Only and Delete Only. 1. Replace A new file that will replace all of the existing values in the tables. 2. Add Only A file with only new values you want to add to the existing table. 3. Delete Only A file with only values that you want to delete from the existing table. The benefit of selecting Add Only or Delete Only, is that your users will still be able to reallocate transactions while the validation task is running. Another benefit is that these files are smaller and will run faster.

Lesson 1: Method 1, Replace…page 1 of 2 StepTask 1Log into System Administration, click on the Site Maintenance Tab. 2Click on the sub tabs, Acct Flds, Validation, Files 3Import your new file with all the values you want to load. These new values will “Replace” all the old values in the table. 4Switch to the Tasks sub tab. 5Select the Name of the file, Single, Combo, Group or Lookup “Load”. 6Click Start and the menu will pop up.

Lesson 1: Method 1, Replace…page 2 of 2 StepTask 7Default Load Method: Replace. 8Fill in Combination Name (if loading a combo file) 9Select Group ID (only if using Group Validation) otherwise leave set to (All Groups). 10Select Directory (Base or site) 11Select the Filename you imported 12Click Ok Selecting “Replace” will remove everything from the table in CAR, for the selected site, and replace with all the values in the file you are loading.

Lesson 2: Method 2, Add Only…page 1 of 2 StepTask 1Log into System Administration, click on the Site Maintenance Tab. 2Click on the sub tabs, Acct Flds, Validation, Files 3Import your new file with only the values you want to “Add” to your existing values in the Validation table in CAR. 4Switch to the Tasks sub tab 5Select the Name of the file, Single, Combo, Group or Lookup “Load”. 6Click Start and the menu will pop up.

Lesson 2: Method 2, Add Only…page 2 of 2 StepTask 7Select Load Method: Add Only 8Fill in Combination Name (if loading a combo file) 9Select Group ID (only if using Group Validation) otherwise leave set to (All Groups). 10Select Directory (Base or site) 11Select the Filename you imported. 12Click Ok Selecting “Add Only” will add values to the table in CAR, for the selected site. All existing values already in the table will remain unchanged.

Lesson 3: Method 3, Delete Only…page 1 of 2 StepTask 1Log into System Administration, click on the Site Maintenance Tab. 2Click on the sub tabs, Acct Flds, Validation and Files 3Import your new file with values you want to “Delete Only” from the existing values in the Validation table. 4Switch to the Tasks sub tab 5Select the Name of the file, Single, Combo, Group or Lookup “Load”. 6Select Start and the menu will pop up.

Lesson 3: Method 3, Delete Only…page 2 of 2 StepTask 7Select Load Method: Delete Only 8Fill in Combination Name (if loading a combo file) 9Select Group ID (only if using Group Validation) otherwise leave set to (All Groups). 10Select Directory (Base or site.) 11Select the Filename you imported. 12Click Ok Selecting “Delete Only” will delete values in the table in CAR, for the selected site. All other values already in the table will remain unchanged.

Post Training Quiz What are the Load Methods for validation and lookup files? a)Replace, Add only and Delete only b)Add and Delete c)Delete only, or Replace only file of values from existing table of values Which tab do you click on to import your file? a)Tasks Tab b)Files Tab c)All of the above What setting is the default for Loading Methods? a)Replace b)Add c)Delete

Post Training Quiz – Answers!

Tips We recommend using “Add Only” and “Delete Only” to greatly reduce processing time, if you have:  Large Validation files  Few changes between files  Load validation files frequently  If you want your users to still be able to reallocate their transactions at the same time the load task is running When using the load method, “Replace,” users will now be locked out of reallocating, for a much shorter period of time You should use the load method, “Replace,” if you have many changes to your values The file formats for all of the files remains unchanged, regardless of the load method These new Load Methods do NOT apply to the following loads, since they all support partial loads at this time, or do not insert values into tables: Card Defaults, SIC Table, Merchant Table, Taxes and Third party Data Lookup Files The process to update Card Defaults has not changed

Notes Methods affected are:  CAR Global Combo Load  CAR Global Group Load  CAR Global Validation Load  CAR Global Lookup Load  IFB Lookup Load
