Chaperone Training SAFE TRIP STUDENTS AND CHAPERONES ARE REPRESENTING CRHS COUGAR BAND AND KATY ISD (We are all ambassadors!) NO STUDENT LEFT BEHIND

Wear something maroon (preferably CRHS logo) and tennis shoes Wear your Chaperone ID picture badge Have your cell phone with you at all times Have phone numbers for Leigh Ann and Mark in your phone Stay hydrated and fueled Be flexible and have fun! General Chaperone Responsibilities DODON’T DO NOT give out medicine to students – all medication must be administered by the on-duty Medic Please don’t allow anyone / parents into the band area Eating or drinking (other than water) in band uniforms is not allowed No nuts Do not share a student's private information

General Bus Rules Typically at least two Chaperones per bus (one Bus Captain, one ‘Other’) Bus Captains will be first at the bus (with clipboard). Put magnet on bus. Bus Captains will check students onto the bus when leaving CRHS and again when leaving the stadium (they leave with us, they come home with us…… one exception) Students do not enter bus until Bus Captain is ready to check them on. Once a student is checked in and on the bus, they don't get off the bus Students cannot switch buses No PDA, no standing while the bus is moving, no hanging anything out the window, nothing in the back window of the bus Student Bus Captains load equipment under the bus and will be last to get on the bus and the first to leave the bus. Truck Loading Crew will also get off first and get on last Chaperones will facilitate trash pick-up on the buses When returning to the school, check the buses for any left items and bring those items into the Band Hall (put them on the stage) Don’t forget the bus magnet and the clipboard Bring trash bags off of the bus and throw away

The Specifics – Part One! Before the event – We will reminders a few days before each event. Please respond to confirm – Bring rain gear, sunscreen, warm clothing if needed – Pre-event Chaperone meeting – Please be here at the specified time – Sign-in sheets, Chaperone badges, bus assignments, phone lists – Weather delays – Emergencies – the blue book

The Specifics – Part Two! Arrival at the game / contest – Band Directors will inform Chaperone VPs of itinerary and expectations for students (uniform, warm-up, destination, instrument cases, rain gear, etc) – Immediately after buses arrive, all Chaperone Bus Captains will meet briefly at Bus 3 with Chaperone VPs to get directions. Non Bus Captains stay on bus with students. – Loading crews and Student Bus Captains get off first to unload trucks and instruments from underneath buses – Chaperone Bus Captains stay with the buses until all students are off the bus with instruments and uniforms and the buses are secured. Make sure all students are off of the bus. Remember your (actual) bus number so you can find the bus later. Write it down if necessary. – Other chaperones will accompany the band into the stadium and do any set up needed – Medic always stays with the students

The Specifics – Part Three! During the game/contest – Ensure that parents and friends do not stop at the back railings to talk with students (use judgment) – No one (including family, friends, etc) is allowed to enter the band area of the stands – Monitor students visiting the restroom – try not to send a whole section at once, and make sure there isn't a line. They need to ask before they go, not just take off. – Restrooms and uniforms – assigned restroom chaperones hold jackets for students. – Students will each have their own water jug. When refilling, only refill half way, but they can get more if needed. – Keep an eye on the amount of water in the coolers (notify truck crew if low) – Any medical situations must be referred to the Medic – inform Leigh Ann or Mark – Any student that leaves early must have been approved by a Director and must be checked out by a Chaperone VP. Signature and Photo ID is required – Be sure to spread out so that all areas and all students of the band are chaperoned, especially when the band is on the move. Don't congregate. – Encore will be a part of the band and we will help assist them, but they should have their own chaperones

The Specifics – Part Fun! Halftime – The Show!!! – Assigned Chaperones will be responsible for plumes in hats (small hands – wear gloves) – freshman plumes!!! – Some Chaperones will stay in the stands to help clean-up – trash bags are provided – Enjoy the show, rest, have a drink and a snack – The same Chaperones will remove plumes after the show and put them back in the storage bins (again, please use gloves) – Water bottles will be handed out as the students re-enter the stands? – Bananas – hand out from boxes, when the students are back in the stands (no throwing!!!)

The Specifics – The End! End of game….. – 4th Quarter – clean up – No students to restroom after the clock hits 5 minutes – When the game ends, Bus Captains need to be first back to the bus to check students onto bus. Put magnetic bus sign on bus. – Other chaperones check stands for trash and scan for left items – If necessary, help carry items back to the buses – Don’t forget to take down bus magnet before we start moving – One walk up and down the bus (it’s dark now!) – One last trash run on each bus as we are nearing CRHS and one last check of the seats after students are off – Bring in clipboard and any left items on the bus – Trash goes in the dumpster or in the trash can in the hall.

Summary THANK YOU SO MUCH Have fun - be flexible – expect the unexpected Without YOU, this does not happen We are here to facilitate – the Directors are in charge (instructions, discipline) Treat the students as you would your own child...not exactly Treat the students as you would expect another Chaperone to treat your own child!
