Main modules

Data-entry screens Example: Outpatient visit screen Finding records Searching Sorting Use “%string” to find string WITHIN field Menu-based fields Optional fields (“Customize” button) User-defined fields Related data menu Hotkeys (menu, related data, save, cancel, exit)

Protocol data-entry screen Approval and termination dates Projected usage Protocol defaults Visit profiles Consents Annual progress reports “Related Data” options Core services

Scheduling Supports integrated scheduling of Patient visits Staff shifts and tasks Physical resources (e.g., equipment) Implemented through a customizable drag-and- drop interface See WebCAMP_Scheduling_ swf in Presentations folder at WebCAMP distribution site for a detailed recorded presentation

Reporting Built-in reports User-defined rReports

Other functions Perform ad hoc SQL queries Support more than one installation Write and add modules View data dictionary

Keeping data clean: Data Setup => Code Tables Clean up lists and menus (e.g., merge items to remove duplicates)

Main modules

ePAR Application Lifecycle Approved/ funded/ accepted Not approved/ funded/ accepted (amend) Reporting of scholar/trainee characteristics in CTSA Annual Report Investigator and trainee progress reports Budgetary follow-up for awards Regulatory follow-up: IRB IACUC Activity tracking: Patient/participant encounters Core utilization Course enrollment (future feature) Final Disposition Post-Approval Tracking ePAR module: Electronic Protocol Submission & Review From poster presented at CTSA Biomedical Informatics All-Hands Meeting, Bethesda, MD, October 13-14, 2010

Main modules

Core utilization tracking module Main purpose: Support entry/management of core service data by core personnel Allows for tracking of CTSA as well as non-CTSA- related services Fully integrated with core services entered via Census and Protocol Tracking Supports cross-core reporting by central administrative staff Assists in identification of protocols that utilized services and comprehensive reporting of services utilized by each protocol.

Main modules

CTSA Annual Reporting module Supports collection of all data required for the “Annual Progress Report” (APR) component of the PHS-2590 (non-competing renewal), the only component that is submitted electronically. Does NOT currently assist with other 2590 data (although it may in the future). For APR data: Checks data, generates and validates NIH-required XML/PDF “bundle” for direct upload to NIH site. Able to seamlessly pull data managed in other parts of WebCAMP, such as investigator demographics needed for investigator roster. Provides a centralized repository of data submitted from year to year Allows for cross-year checking to avoid double-reporting Makes data accessible for future needs, such as competing renewal Provides additional tools for publication management and tracking.

What’s new in Census and Protocol Tracking? New location option for user-defined fields Publication-related enhancements: “Suggest” option for linking investigators and protocols to publications New “Search Pubmed” option in RelatedData for investigators “Excluded Investigators” link on Publications data-entry form User-Defined Report enhancements: New “Divide list columns into rows” option (checkbox) and other options to facilitate pasting into Excel Inclusion of core services in definition of “active protocol” Report ownership, and new “Copy” and “Lock” options Tracking of last accessed report

What’s new in Core Utilization Tracking module? Ability for core itself to manage users, services, user-defined fields, and core personnel Improved integration with patient-related services entered in Census and Protocol Tracking

What’s new in CTSA Annual Reporting module? New tools for publication management Search Pubmed and import pubs citing grant Improved link to PMID-PMCID Converter New “Pubmed Data as XML” allows direct viewing of Pubmed data from WebCAMP New “Print” option New “Submitted to PubmedCentral” checkbox

What’s new in ePAR? Many new configuration options On-screen view of applications: Two-tiered filtering with choice of AND or OR Easier searches by investigator, and new keyword-based search New reporting options for: Identifying required documents missing from applications Identifying overdue reviews Listing applications by application type, status, institution Improvements to “Approved Budget” page New “Compare Amendments” option
