Computer Technology

 A Personal-Business Letter is a letter written by an individual to deal with business of a personal nature  This is different than a Personal Letter, which is written from one individual to another Block Format  All lines start at the left margin  NO lines are Indented!

 FIRST:  Top margin is set to 2 inches  Side margins are all set to 1 inch  Set No Spacing Style OR Remove the space after your paragraphs ▪ Both of these options do the same thing- make sure when you hit enter, there is NO extra blank space

 Return Address- the senders address  Current Date- placed a single space directly below the return address  Quadruple space after

 Inside address (also called Letter Mailing Address or Letter Address)  Include the recipient's full name, title, and address  Double Space after  Salutation (also called the greeting) ▪ Mr., Ms., Mrs., Miss.  Double Space after

 Body- main message  Double Space between/after body paragraphs  Complementary Close ▪ Sincerely, Thank you, Kind regards, Respectfully, or With many thanks  Quadruple Space after ▪ This is done so that the sender can sign the letter (in blue or black ink)

 Name and title of sender  Used because you cannot always read someone’s signature and you may not know their title/job.  Double Space after (if needed)  Reference Initials  Tells the reader that someone other than the author typed the letter ▪ Not every letter will have these!  Double Space after (if needed)

 Attachment or Enclosure notation  Indicates something is being sent along with the letter ▪ Attachment- the letter is stapled or paper clipped to whatever is being sent with it ▪ Enclosure- the thing sent with the letter isn’t attached to it, its just floating around in the envelope  Double Space after (if needed)  CC or Carbon Copy  Indicates someone is getting a copy of the letter

OPEN PUNCTUATIONMIXED PUNCTUATION  Colon after salutation  Dear Mr. Lazcano:  Comma after Complimentary Close  Sincerely,  No punctuation after salutation or closing  Dear Mrs. Smith  Sincerely ** Note: you will see Business-Letters with both types of punctuation!

 Key your Business Letter Handout/Notes  Set your margins and remove space after your paragraphs!  Be sure to use the correct format  Save As: Sample Business Letter (a new folder called Business Letters) ▪ Turn in to the tray, keep the notes in the notes section of your binder!
