1 Intro to Micro Apps Intergrating the Apps Copyright 2003 by Janson Industries This presentation can be viewed on line at: Assg1 Assg1 Assg2 Assg2

Copyright 2013 by Janson Industries 2 Objectives n Explain u Advantages of s/w suites u How to integrate documents, spreadsheets, databases and presentations u Updating and the effect on other objects n Show how to: u Import, embed and link app objects

Copyright 2013 by Janson Industries 3 Software Suite Advantages n Apps are built to work together n You can easily have SS or DB in docs and presentations and visa versa u Don’t have to re-enter all the info n You can drastically cut down on duplicate information u Save space u Faster to update u Fewer mistakes when updating

Copyright 2013 by Janson Industries 4 Tieing Objects Together n Several ways to combine objects u Cut and paste u Link u Embed ► Office feature: OLE (Object Linking and Embedding) n Advantages and disadvantages to each

Copyright 2013 by Janson Industries 5 Tieing Objects Together n Cut and paste u Really easy to do u However now there are multiple copies of the object ► Takes up more space ► Updating the source object will not update the copies ► Takes longer to update because if changes are needed, must be done to all copies If an object is copied into 10 docs, 11 changes must be done ► Because of multiple updates, greater chance of error

Copyright 2013 by Janson Industries 6 Tieing Objects Together n Embedded objects u Copied into destination file (like cut and paste) u All the disadvantages of cut and paste u Advantage is that you can update the embedded object with the app that created it ► Cut/pasted objects are updatable by the destination app not the source app I.e. an embedded SS in a doc can be edited by Excel Cut/pasted SS edited by Word

Copyright 2013 by Janson Industries 7 Tieing Objects Together n Linked objects u A link to the object is placed in the destination file u Changes to the source object reflected in the destination file ► No duplication Less space Less updating u Kinda like using a cell address in a formula rather than duplicating the data

Copyright 2013 by Janson Industries 8 Tieing Objects Together n Which method should you use? n If object is: u Static (non-changing) u Only going into a small number of files u Takes up little space ► Cut/paste is easiest and fastest

Copyright 2013 by Janson Industries 9 Tieing Objects Together n Which method should you use? n If object: u Changes infrequently u Goes into a number of files that can be easily kept track of u When duplicated, takes up a non- significant amount of space ► Embed the object

Copyright 2013 by Janson Industries 10 Tieing Objects Together n Which method should you use? n If object: u Changes frequently ► OR u Goes into a number of files that cannot be easily kept track of ► OR u When duplicated, takes up a significant amount of space ► Link to the object

Copyright 2013 by Janson Industries 11 Our current document that we want to include a Excel sheet into

Copyright 2013 by Janson Industries 12 Current size is 12 KB

Copyright 2013 by Janson Industries 13 Selct and copy

Copyright 2013 by Janson Industries 14 Well that doesn’t look very good! Notice the title pattern and sparklines are is missing and the col width is distorted

Copyright 2013 by Janson Industries 15 Notice the size with the sheet is 23KB – nearly a 100% increase in size

Copyright 2013 by Janson Industries 16 The sheet is pasted in to the doc as a Word table So there are some editing/formatting functions Like Distribute Columns Evenly

Copyright 2013 by Janson Industries 17 Also, deleted the first column to fit more of the cols

Copyright 2013 by Janson Industries 18 All the info in the table is text – no formulas/functions So changes in one cell not reflected in others

Copyright 2013 by Janson Industries 19 Cutting and Pasting n Could have pasted the data as an image u Can’t manipulate the content but easier to fit into the document n Also for other SS objects, like charts, Word has very good editing and formatting functions

Copyright 2013 by Janson Industries 20 As an image all the formatting is there – title pattern, sparklines

Copyright 2013 by Janson Industries 21 Notice the size with the image is 47KB – nearly a 300% increase in size

Copyright 2013 by Janson Industries 22 Embedding n Copy the sheet n In the Word doc, on the HOME ribbon display the Paste menu and select Past Special n Select Microsoft Worksheet Object

Copyright 2013 by Janson Industries 23

Copyright 2013 by Janson Industries 24 Sheet pasted like an image and can be formatted as an image

Copyright 2013 by Janson Industries 25 The size with the worksheet object is 95KB – nearly a 700% increase in size

Copyright 2013 by Janson Industries 26 Right click the image and select Worksheet Object then Edit

Copyright 2013 by Janson Industries 27 Notice the Excel ribbon is displayed and the sheet now appears in a mini-spreadsheet window

Copyright 2013 by Janson Industries 28 The embedded object has all the functionality of a worksheet

Copyright 2013 by Janson Industries 29 Changes to one cell will be reflected in any other cell that references that cell

Copyright 2013 by Janson Industries 30 However, the changes are not reflected in the original worksheet

Copyright 2013 by Janson Industries 31 To insert a link, do same thing as embedding but specify Paste link

Copyright 2013 by Janson Industries 32 To change the worksheet either start Excel and open it or right click it in the doc and select Linked Worksheet Object, then Edit Link

Copyright 2013 by Janson Industries 33 An Excel session will be started & the file will be opened Changes in the Excel session will, of course, be reflected throughout the SS…

Copyright 2013 by Janson Industries 34 … and in the document Don’t even have to save the SS for the doc to be updated

Copyright 2013 by Janson Industries 35 If changes are made in the SS and the doc is not open, when the doc is opened a request to update the doc will be displayed

Copyright 2013 by Janson Industries 36 If you don’t update when opening the doc, you can manually update later but right clicking and selecting Update Link
