Analyzing the Current Database

Why Analyze To find out Does the current database support the organizations current needs Are there structural problems How does the database need to change What kind of data does the organization use How does it manage and maintain that data

Types of Databases Paper based—file systems Legacy databases Human knowledge

Key Rule Do not adopt the current database structure as the basis for the new database structure

Conducting the Analysis Three steps 1. Review the way the data is collected 2. Review the manner in which the information is presented 3. Conduct interviews with users and management

Process Collect samples of paper forms and reports, also get screen shots of computer forms and reports In the interviews ask users and managers about the forms and reports, to make sure you understand what each piece of information represents. Look for subjects or themes (Entities) Look for characteristics (Attributes)

Interview Topics Types of data currently used How users use that data The samples of forms and reports, clarification of data and details Types of information required for daily work Additional Information requirements (things that they may not be getting currently) Future information requirements

List of Fields Review and refine the list of characteristics Determine whether there are new characteristics in any of the samples Review value lists Review your list of characteristics with users and managers
