MS PPT 2007: Presentations Made Easy; Planning and Preparing PowerPoint allows you to create a professional presentation without relying on others, and then lets you deliver that presentation in a variety of ways From your computer On the World Wide Web Overhead transparencies

PowerPoint Unit #8 PowerPoint enables you to concentrate on the content of a presentation without worrying about its appearance. You supply the text and supporting elements and leave the formatting to PowerPoint. If you want to create your own presentation design, PowerPoint provides you with powerful tools to use in the design process

PowerPoint views Normal view is the tri-pane default PowerPoint view (pg 428) The Ribbon is a command center that organizes commands into groups accessed from tabs. A tab sits above the Ribbon and is used to organize or group like features for quick access

PowerPoint An object is any type of information that can be inserted in a slide A contextual tab is a specialty tab that appears only when certain types of objects are being edited A gallery displays a set of pre-defined options that can be clicked to apply to an object Page 430 has a Table of Tab and Group descriptions

PowerPoint A Screen Tip is a small window that describes a command The Mini toolbar is a small, semitransparent toolbar that you can use to format text The status bar is a bar, that contains the slide number, the Design Theme name and view options

Using PowerPoint views A thumbnail is a miniature of a slide that appears in the Slides tab The Notes Page view is used for entering and editing large amounts of text that the speaker can refer to when presenting

PowerPoint Views The Slide Sorter view displays thumbnails of slides (small versions) The Slide Show view displays a full-screen view of presentation (how do you get out of a slide show when it is in full screen mode?) Presenter view delivers a presentation on two monitors simultaneously

Presentation Creation A storyboard is a visual plan that displays the content of each slide in the slideshow (I use an outline) See page 447 of your text for an example of a Storyboard and what it can do for you. A bit of planning can save you a whole lot of time!

PowerPoint A slide layout determines the position of objects containing content on the slide A placeholder is a container that holds content and is used in the layout to determine the position of objects on the slide (pg 448) A theme is a set of design elements that gives the slide show a unified, professional appearance.

Presentation Development A table is an illustration that places information in columns and rows A clip is any media object that you can insert in a document (IF you choose the slide design that contains a spot for you clip art, PowerPoint resizes it to fit) (pg 459) A transition is a movement special effect that takes place as one slide replaces another in Slide Show view

Presentation Development An animation is movement applied to individual elements on a single slide (pg 459) An animation scheme is a built-in, standard animation effect A custom animation is an animation where the user determines the animation settings

A few of Pat’s rules 6 x 6 – no more than 6 lines on a slide No more than 6 words per line Font never smaller than 24 Watch font color – looks totally different on your computer screen than it will shot up on a wall

Printing with PowerPoint Print Slides – print each slide on a full page Print Handouts – 1,2 3, 4, 6 or 9 slides per page – 3 is popular because you have a thumbnail of the slide and lines for the audience to take notes Print Notes Pages Print Outlines

Assignment Scenario: You have been hired by an Internet company and you will be working from home. Your new boss has asked you to create a presentation that will introduce you to the rest of your virtual team. Your task is to create a personal biography PowerPoint presentation. You should include items such as your birth place, where you went to school, present occupation, hobbies, and other information you think is appropriate.

Project Details 1. Create 8-10 slides a. When creating presentations it is important that you know how to concisely provide the appropriate information. 2. Start the presentation with a title slide and end it with a contact information slide a. The title slide must include an appropriate title for your presentation, your name, the course and section, and the date created. b. The end slide should include contact information such as your address and AIM user name.

Project Details 3. Select appropriate slide layouts for each slide a. PowerPoint has a variety of slide layouts that makes it easy for you to add text, graphics and other media to your presentation. Pick the layout that best fits your information. 4. Add a title to all slides a. Titles on slides are important because they provide your audience with an idea of the information you will discuss.

Project Details 5. Add at least one slide that contains bullets and one of which should have sub-bullets a. Bullet statements are an integral part of a slide. Your bullets should highlight what you plan on discussing. You, as the presenter, should be able to use the bullets as a reminder of the information you want to convey to your audience. 6. Add three to five JPG, or GIF, graphics for the entire presentation a. The graphics should be properly positioned and sized. They should enhance the presentation.

Project Details 7. Select a slide design theme that is appropriate for the presentation a. Adding a design theme adds appeal to your presentation. 8. Include animation on each slide a. Animation allows you to alter how the text, graphic and other information is added to the slide when it is displayed. You may have your bullets appear one at a time, fade in and fade out.

Project Details 9. Do not add sound to your presentation. Do not use the Typewriter animation. 10. Ensure presentation is free of spelling and grammatical errors
