5 University of South Florida - Orbitz for Business Training Booking Guidelines: –Launch Date for Full Rollout – Apr. 7, 2014 –Please book online rather than calling an agent whenever possible –USF Travel Policy has been built into the OFB site –If a selection is made that is NOT within the USF Travel Policy Guidelines, you will see graphics that will indicate “Reason Required” for booking **NOTE: All Southwest content is available on OFB –Personal travel reservations are only allowed on the OFB site, if a companion is traveling with an employee on business travel. Payment for all tickets should be on a personal credit card and the business portion expensed. Cancellations and Changes to Existing Reservations (Not made on OFB): –OFB is not allowed to modify a reservation made by another agency –Contact the applicable vendor –Same applies for redemptions of unused ticket credits

9 University of South Florida - Orbitz for Business Training To cancel your non-refundable ticket outside of the 24 Hour Courtesy Cancel window and have the credit in your profile to use to purchase another ticket on that same carrier in the future, click the “I want to cancel my tickets” radio button. –For refundable tickets, contact an agent to refund or redeem

10 University of South Florida - Orbitz for Business Training You can change most tickets online without agent assistance including: –Change to whole itinerary –Change to outbound only –Change to return only –Change to return after outbound flown –Wholly unused and partially used tickets –Both U.S. and international airlines –Domestic and international itineraries –Single and multi-carrier itineraries –One way, round-trip or multi-city itineraries There may be times when you will be prompted to contact an agent due to airline and faring restrictions Important – you must change any applicable flight before the originally scheduled departure time of the flight

13 University of South Florida - Orbitz for Business Training  Exception U.S. Domestic Airlines to On-line Hold  AirTran  Frontier  JetBlue  Southwest  Spirit Airlines  Virgin America Note: With these exception airlines, you will NOT see a “Hold” option in the booking path. The only option you will see is “Book and Ticket Now”

14 University of South Florida - Orbitz for Business Training Exception airlines when needing a courtesy cancellation (void), cancellations, or change: –Southwest (can void and cancel online / call agent for changes) –AirTran (can void and cancel online within 4 hours / call agent for changes) –Spirit (call agent for void/cancel/changes) You will need to track your own credits on these exception carriers Let’s review Hotel/Car cancellations and changes
