Establishing a Project Baseline Establish a Project Baseline (cont.) “Scheduled” columns “Baseline” columns “Variance” columns

Establishing a Project Baseline Baseline — Collection of key values in the project plan At this point, the Start and Baseline Start and the Finish and Baseline Finish values are identical Establish a Project Baseline (cont.)

Establishing a Project Baseline  No actual work has occurred  No changes to scheduled work have been made  After work begins or adjustments are made, differences are displayed in the Variance column Establish a Project Baseline (cont.)

Establishing a Project Baseline Specific values are saved in the baseline Establish a Project Baseline (cont.) Task FieldsStart field Finish field Duration field Work and timephased Work fields Cost and timephased Cost fields Resource FieldsWork and timephased Work fields Cost and timephased Cost fields Assignment FieldsStart field Finish field Work and timephased Work fields Cost and timephased Cost fields  Timephased fields are task, resource, and assignment values distributed over time

Establishing a Project Baseline You should save a baseline when  You have developed the project plan as much as possible  You have not started to enter actual values Establish a Project Baseline (cont.)

Establishing a Project Baseline The first phase of a project is planning: developing and communicating the details of a project before work begins The second phase of a project is tracking: collecting, entering, and analyzing actual project performance data  These details are called actuals: project work completed and recorded in a Microsoft Project file Establish a Project Baseline (cont.)

Establishing a Project Baseline There are various levels of detail used to track progress, depending on requirements of the  Project manager  Stakeholders  Sponsor (the individual or organization that provides financial support and supports the project team within the larger organization) Establish a Project Baseline (cont.)

Establishing a Project Baseline Levels of tracking  Record project work as scheduled  Record each task’s percentage of completion  Record the actuals  Track assignment-level work by time period Establish a Project Baseline (cont.)

Over Budget Tasks and Resources Current cost is the sum of the actual and remaining cost values Baseline cost is the total planned cost of the project when the baseline was saved Actual cost is the cost that has been incurred so far (after the indicated total work has been completed) Remaining cost is the difference between the current cost and actual cost Click Close when finished Identify Over Budget Tasks and Resources (cont.)

Time and Schedule Problems Project handles tasks in relation to the scheduled restart date in the following ways 1.If the task does not have actual work recorded for it prior to the rescheduled date and there is no constraint in place, the entire task is rescheduled to begin after that date Reschedule Uncompleted Work (cont.)

Time and Schedule Problems 2.If the task has some actual work recorded prior to but not after the rescheduled date, the task is split so that all remaining work starts after the rescheduled date. The actual work is not affected. 3.If the task has some actual work recorded for it prior to as well as after the rescheduled date, the task is not affected. Reschedule Uncompleted Work (cont.)

Time and Schedule Problems Keep in mind that a change in one part of the schedule — be it a time, cost, or scope change — can, and usually does, affect the schedule elsewhere Reschedule Uncompleted Work (cont.)
