Kronos Information for DU Supervisors: Approving Your Employees’ Timecards

In this session, you will learn how to approve timecards, and how to verify that employees have approved their own timecards. By approving the timecard the supervisor/manager is attesting to the best of his/her knowledge that the timecard is complete and accurate. If the timecard is complete and accurate, you can approve the employee’s timecard prior to the end of the pay period (such as Friday afternoon). Continue

You can either mass-approve all of your employees timecards if you have reviewed them already, or you can approve them one- by-one. To mass-approve, select Approve Timecards.

Select all of your employees by holding down the Shift key on your keyboard and select the first and last employee with your mouse.

Choose Approve in the Approvals drop-down selection.

You can see that all timecards have the proper employee and Manager approval. Continue

To individually approve timecards select all of your employees by holding down the Shift key on your keyboard and select the first and last employee with your mouse.

Choose Timecard.

You are now in the timecard view. In prior presentations you have seen how to reconcile timecards. Once you have completed these tasks, approving timecards should be a last check to ensure the timecards are complete and accurate. At this point you also want to ensure that your employees have recorded all of their hours in Kronos (e.g. 37.5h or 40h per week) and appropriate leave has been applied. Continue

Select Approvals.

Choose Approve.

The Timecard now indicates that it is approved. Click on the -> button to access the next employee’s Timecard.

Review and approve all of your employees’ timecards. Continue

To verify that you and your employees have approved each timecard choose Approve Timecard in the secondary work area.

Here you can see if your employees and manager have approved each timecard. Continue
