LO3 Know the features and functions of information systems

‘Information management’ is an umbrella term that encompasses all the systems and processes within an organisation for the creation and use of corporate information.

Health and Safety Management DFD: Information management encompasses systems: Information systems (MIS) The health and safety department is an information system Human resources (HR) (e.g. staffing, training and professional development): The health and safety management department constantly must receive appropriate and up to date training on health and safety, all staff must be appropriately trained and must be professional as health and safety can be dangerous and life threatening if not done professionally. The health and safety management at the school in my dfd receives training from multiple sources such as the institution of occupational safety and health and Dorset county council. decision support system: The health and safety management department has to constantly make decisions on health and safety within the school, they make decisions on what equipment is needed for example fire extinguishers and any precautions that need to be made to prevent injury. document management (DM) and records management (RM): The health and safety management department has to manage documents and records effectively, these are received mostly from the Dorset county council providing information on health and safety and any precautions that need to be made, this data has to be managed effectively to prevent loss of important data or information.

Theme park DFD Information management encompasses systems such as: Information systems (MIS): The theme park has many departments and are all separate information systems, these include financial department, sales department and product storage e.t.c Human resources (HR) (e.g. staffing, training and professional development): For a theme park to function effectively it constantly needs new staff to operate and help department work effectively, it is important that staffing and training is supplied for certain departments, such as ride maintenance. Financial (e.g. sales, costings, investment, returns): All theme parks have a financial system/ department this allows an organisation to manage sales, costs, investments and returns. It is important for a theme park to have a financial system as it allows them to manage money effectively for staffing, equipment, sales product e.t.c.

Health and Safety Management DFD: Features of information systems: Hardware (computers, printers, scanners, etc) Hardware used is mostly computers to present information and for s e.t.c no other hardware used. Software (databases, spreadsheets, ) The health and safety management department require software to present information or findings that may have discovered the software used for this is usually word PowerPoint or excel Data (facts, figures, info) The health and safety department requires lots of data on facts and figures on health and safety, information includes accident reports, health and safety procedures e.t.c Communication/data flow (verbal, , telephone, internal, external, etc) The health and safety department receives information and communicates regularly through , telephone e.t.c communication is usually between teachers at the school and external sources such as the Dorset county council

Theme Park DFD: Features of information systems: People Them parks require many employees for the theme park to run effectively, theme parks have multiple departments so need many employees to run departments and for the park to run smoothly and effectively Hardware (computers, printers, scanners, etc) Certain systems within a theme park require hardware for example the ticket system and shops require barcode scanners to show what has been sold and how much money has been made. Also departments such as the financial department may need computers to plot sales data e.t.c Software (databases, spreadsheets, ) Again the financial department would require databases and spreadsheets to plot sales information to see how much money has been made and what products are more popular than others e.t.c

Health and Safety Management DFD: Functions: Input (keyboard, scanned, audio, etc) Input in the health and safety department comes from the Dorset county council health and safety team they supply the Dorset county council and the health and safety manager with appropriate health and safety data and information Storage (database, filing cabinet, spreadsheet) The health and safety manager stores appropriate data such as accident statistics and health and safety precautions e.t.c Analysis (comparing, identifying patterns, etc.) The health and safety manager must analyses appropriate data received from the input source and analyse appropriate data to ensure that accidents are prevented and that the school is kept a safe environment to work and learn in. Reporting (database reports, chart, graphs, websites, annual reports) The health and safety manager must report and present analysed data to the governor 4 times a year to ensure that the school is safe and discuss any precautions that need to be made e.t.c Output (invoices, receipts, company records, etc) Presented information is analysed by the governor and decisions are made based on the information received.

Theme Park DFD: Functions: Input (keyboard, scanned, audio, etc) Most frequent, input source of a theme park is the customers, customers pay for tickets to enter the park and pay for products sold in shops and food places e.t.c, tickets and products are scanned to show who has entered the park and what products have been sold Storage (database, filing cabinet, spreadsheet) Departments within a theme park need to store data to ensure it is safe and also backed up, data stored would include sales statistics on products/tickets sold and money made which would be managed by the financial department. Processing (total, average, min, max, etc) Some data has to be processed, again sales statistics would be another example the financial department needs to process this data to calculate total money made and how to use the money, for staffing, equipment e.t.c Output (invoices, receipts, company records, etc) Output data within a theme park would be controlled by the park manager, the manager would manage and read company records to see what data is approved such as to confirm what equipment is needed and if the park departments are being managed effectively. Also receipts are given to customers after purchasing products and tickets, to show that they have purchased the product.
