WORD

Office applications includes Word, Excel, PowerPoint, Access, …. They are Windows applications. We’ll study three applications: Word, Excel, PowerPoint.

1. Running Office Applications (1) Click start button on taskbar of Windows desktop, select programs( 程序 ) menu , and select the name of the applications you want to run. See next page. (2) If the icon is on the desktop, you can click doubly it to run this application. Here, the icon is the application you want to run. (3) Directly Double-click the file you want To open.

2. Word program interface Once running Word program, you can see a word application program window. This is the word program interface.

We take an interest in the menu, toolbar, formatting toolbar. There are many buttons and commands you can use. We can use them to edit our paper. A button in the tool bar makes the same function with a command in menu. For example: In tool barin menu

To save a file, we can click button on the toolbar; also, we can click File( 文件 ) menu, select save( 保存 ) command. Of course, we can use key CTRL+S directly.

3. Ways to Select Text Several Characters or Words (short text): Click first character, drag mouse to the end of text. Long text: Click at the beginning of the text, scroll down to the end of text, and shift+click. Several lines of text: Position the pointer to the left of the first line until it changes to a right- pointing arrow, and then drag up or down. Entire document: Ctrl+A Vertical block of text: Hold down the ALT key and drag over the text. Graphic: Click the graphic.

4. Using Windows Clipboard We can use windows clipboard for copying, moving the text block. (1) We can use “copy”, “cut”, ”paste” buttons on the toolbar. (2) Also we can use “copy”, “cut”, ”paste” commands in edit menu. (3) Of course, we can do them with CTRL+C, CTRL+X, CTRL+V. copycutpaste

5. Find and Replace Open the Edit( 编辑 )menu and choose Replace( 替换 ), the Find and Replace dialog box opens. Find what Replace with

6. UNDO command To undo the most recent action, open EDIT menu and select Undo( 撤消 ), or click Undo button on toolbar. You can continue to click the undo button to undo additional actions.

7. Insert text box Open insert( 插入 ) menu, select “text box”( 文本框 ), you can create a text box, and enter data to the text box.

8. Using Formatting Toolbar Two ways: (1)Select the text you want to format, right-click on the selection, and choose Font( 字体 ). The Font dialog box spreads out. Just point and click to pick the font, size, and attributes you want. (2) Select the text you want to format, open “Format” menu, and choose Font( 字体 ). …

On the Font dialog box, set color as red, set size as “ 三号 ”, set English Font as “Courier New”, click “OK”( 确定 ) button, the text you selected becomes below.

You can do other text formatting works with Font or Paragraph Formatting( 段落 ).

9. Inserting Pictures To insert a graphic image that’s stored on your disk, open the “Insert”( 插入 ) menu, choose to “picture”( 图片 ), and click “From File”, The insert picture dialog box appears, prompting you to select the graphic file you want to insert. When you select a graphic file, you insert a picture to the word text.

Click the picture to select the picture. Drag the corner handle to change both the height and width. Right-click the picture, open a pop- up menu, choose “setting picture style”, you can see a dialog for setting picture style.

With dialog on last page, you can control the arrangement of pictures and the text. Drawing lines, ovals, rectangles, and other shapes with drawing toolbar.

10. Table In your document, you can add tables for controlling your page layout. (1)Using the Insert table button Open “table” menu, select “insert”, and select “table”, Word opens a dialog for making up a table.

You can set the rows and columns of the table. Also you can set the table style. row column Table style

You can enter data to table, using Key “Tab”, “ “, “ “, “ “, “ “.

(2) Drawing a table with your mouse To draw a table, open “Table” menu, and select “draw Table”( 绘制表格 ). The mouse pointer turns into a pencil, click and drag for drawing a rectangle that is your table’s border. Then, In the rectangle, click and drag mouse for getting other lines.
