Resource Management Update ELUNA 2013 | May 2013 Bar Veinstein Corporate Vice President, Resource Management Solutions 1

When Do We Get to 4,000 Alma Institutions? Innovators 2.5% Early Adopters 13.5% Early Majority 34% Late Majority 34% Laggards 16% 2012 - 2013 2012 - 2013 “The Chasm” 2012 - 2013 2013 - 2014 2012 - 2013 Hi everyone, How many of you saw my presentation last ELUNA? Raise your hand…. So you probably remember my first slide from ELUNA 2012 – where I used the well know model of Technology Adoption Life Cycle – “Crossing the Chasm” by Geoffrey Moore to estimate how long it will take Ex Libris to migrate over 4000 Aleph and Voyager customers to Alma… Well – I’ve decided to start my presentation this year with the same slide….why – because as you’ll see in my next slide….our original estimations are still valid….it will take many years to migrate all the customers to Alma…. 2012 - 2016 2017 - 2021 2022+ Up to 2012 1000 2000 4000 Number of Alma Institutions Source: Based on “Crossing the Chasm” (Technology Adoption Life Cycle), by Geoffrey Moore

Alma Go-Live ramp up (# of institutions) Orbis Cascade Cohort #2 Leuven Consortia Orbis Cascade Cohort #1 You’ve seen this slide in Matti’s presentation – so I will not spend much time here….we have phenomenal success with Alma but as you can see we’ll have about 100 institutions in production by end of 2013…..which is less than 3% of our customer base…. So hopefully by now you are convinced that Ex Libris is very committed to continue to develop and support our traditional products and not just our next generation products like Alma…..

Overall in the different 8.x releases we have implemented over 140 enhancements requested by you …..our customers…many of them are very important like the “Global Data Changes” and others…. We are now actively working on the next major version – which is version 9.0 – planned for release during Q1 2014… In version 9.0 we’ll continue to focus on improving service to users and increasing efficiency with many OPAC via Primo improvements as you’ve seen in David previous slides and other exciting new features… Q3 2012 Q4 2012 Q1 2013 Q2 2013 Q3 2013 Q4 2013 Q1 2014

And we are already working on planning for version 23 scheduled for 2015…… Q3 2012 Q4 2012 Q1 2013 Q2 2013 Q3 2013 Q4 2013 Q1 2014

Before I move to talking about Alma…..I want to finish this first section of my presentation using again a slide that you’ve seen before ….summarizing our commitment to you are customers…. to continue and support our products and ensure every customer has the ability to transition to Alma when it’s really the right time for them….. DigiTool 3 SP’s .....

2012 Was a Big Year for Alma Alma went live at Boston College on July 2 2012, right on schedule, and today it is live at 12 institutions worldwide 150 institutions (including 3 consortia) Over 50 institutions switching from non-ExL ILS From ex-small to ex-large libraries So let’s talk about Alma…. What a great year – finally going live in July 2012 after a journey that started in ELUNA 2007 with a vision presentation by Oren Bet Arie…. I hope you didn’t missed our announcement on Tuesday - we just passed the 150 mark of institutions that have committed to deploying Alma - and what is even more amazing is the fact that 1/3 of these are institutions that previously didn’t use Voyager or Aleph and have subscribed to the vision and benefits that Alma brings to the table. 11 countries worldwide 8

Alma Community Worldwide If you look at this map – you’ll see that Alma is being adopted today across the world….and if you noticed another recent announcement form us on Monday – we announce that Swinburne University from Australia is now live with Alma….which means that we now have live Alma customers in all 3 regions – North America, Europe and Asia. So we proved that Alma is not just a vision …..it’s a real production system …..but – we have a very large shoes to fill….so know we need to focus on the key success factors that will make Alma the best next generation system …. so what are these key factors? Over 150 institutions committed to Alma worldwide

Success Factors Ease of Implementation Depth of Functionality & Efficiency Interoperability & Open APIs Flexibility & Scalability Innovation /cutting edge As part of the due diligence process that Golden Gate Capital did when they’ve decide to buy Ex Libris – they asked a known consulting firm to survey the market and find out what are the most important factors for libraries that consider next generation systems…. So of course price, support and vendor stability were important factor – but from the product itself – these were the 5 top factors – Ease of implementation Depth of functionality & efficiency Interoperability & open APIs Configurability & Scalability And finally – innovation Let’s see how Alma address all these important factors – we’ll start with “ease of implementation”

Alma Deploys in Months Not Years… Implementing ILS - 9-12 months ERM - 2-4 months Link Resolver - 2-3 months 14-18 Months On Average Duration reduced from 14-18 months to 4-6 months Alma - 4-6 Months Automated tools for fast provisioning of new customer on the cloud Advanced Migration Engine (Alma ME) Alma Configuration Kit – configuration by Ex Libris Well defined out-of-the-box 3rd party integrations Web-based training by cohorts (global collaboration) If there is one achievement in the last year that I’m proud of – beside going live with Alma – is the fact that we’ve managed to implement Alma in 4-6 months on average… Now – if you consider that Alma actually replaced in these customers their ILS, Link resolver and in many cases their ERM as well…..we are looking at an implementation process that in the past took about 14-18 months and we’ve managed to do it with Alma in 4-6 months …..basically 3 times more efficient compared to the old process…..we have not just redesigned our products ….we’ve also “redesigned our implementation process” We’ve created simple configuration forms in Excel that could be uploaded to Alma to set configurations, we’ve simplified the setup of standard integrations and we’ve created a powerful Alma MigrationEngine that delivers great efficiencies in data migrations…. Let’s talk for a second about the Alma MigrationEngine – or as we call it – Alma ME….

Alma Migration Engine Alma Migration Engine Millennium, Symphony, Unicorn, Talis, VTLS, Bond SerSol 360 Link, EBSCO LinkSource, iii WebBridge, TDNet SerSol 360 RM, iii ERM, Homegrown I don’t know if you know this but in the past when we implemented a new customer of Aleph or Voyager we used custom scripts to delivered data migration …..basically every project required a lot of custom work and we didn’t always managed to capture the best practices derived from migration so many customers around the world….. So with Alma we know we need to change things – so we decided to do the following: We assign developers to create actual predefined migration kits – that don’t require development knowledge to use (as opposed to the old custom scripts) We centralized the migration task into a centralized global group to leverage best practices globally And finally – we took upon ourselves to create migration kits for all the different source systems out there – not just Ex Libris systems On the slide you can see the list of source systems that we either currently have or we are working on – and we expect to see this list grow in the next few years……as we all know that many of you have a large variety of source systems that you would like to migrate to a single unified Alma. Dspace, Fedora, CONTENTdm

Alma High Level Roadmap Plan Collaborative Networks New Resource Sharing Interop. Alma Analytics new entities Alma Developers Enhanced Community Catalog Emerging Electronic licensing and purchasing models KnowledgeBase continued expansion Alma Predictive Analytics Developers Networks 2013 2014 2015 Ongoing core workflows enhancements: Acq., Fulfillment, Cataloging, Resource Mgmt. Let’s move now to the second success factor – Depth of functionality and efficiency…. We have an aggressive roadmap for Alma in hopefully you had a chance to attend Dvir’s Alma Product update session yesterday and hear about our plans for the rest of 2013 and 2014 but I want to talk about one feature that we typically don’t focus on that is one of the most critical elements that makes Alma successful……and that is the fact that Alma is a true cloud-based multi-tenancy service…. But hold on…..you probably saying to yourself …..why do I care?.....multi-tenancy is really just benefiting the vendor …. Well – if this is what you are thinking you have a big mistake…..let me explain – why…. Next Generation Selection Unified Digital Resource Management Community Zone Enhancements Collaborative Networks – Cont’ Extend MMS format support

Multi-Tenancy – Why Should You Care? One Version Painless Upgrades Disaster recovery No customer is left behind when the software is updated Vendor-managed updates (they are “automatic”) Simple matter of economies of scale Ironclad Security Limitless Scalability Stronger Collaboration Stronger security than on-premise Ample excess capacity available to whoever needs it Share resources, data, reports, templates etc. All customers are on the exact same release – you don’t need to upgrade to use a great feature that you need Disaster Recovery – many customers are setting a “testing environment” and call it “disaster recovery” – because of cost…. Security – you are concerned about cloud security – well many studies showed that cloud services are more secured than your on-premise system…..have your current operation gone through ISO 27001 certification? Scalability – that’s a give of course…. But now – let’s talk about the REAL great things about Multi-tenancy - Stronger collaboration – we all know about collaboration around metadata – but how about collaboration around collection development or even sharing report templates – you can do it in a multi-tenant environment Aggregated analytics – we can easily learn from other peer institutions and share best practices We can innovate faster because we can deliver releases on a monthly basis And finally – it’s the vendor responsibility to make sure that all our integrations and customizations are intact when a new version is released… Since I finished the slide talking about integrations and customizations let’s move to the 3rd success factor – which is Interoperability & open APIs Aggregated Analytics Faster Innovation Vendor is Responsible Easily benchmarks against peers New features in weeks not years Customizations & Integrations must work in the new version

Alma Developers Platform The Alma Developers Platform Custom Apps Course Management Material Vendors Discovery & Delivery Student Info Systems Resource Sharing Financial Systems Alma Developers Platform Cloud Integration Templates Apps & Extensions Alma Developers Network Web Services Publishing Services Adapters & Interfaces Export & Import Services As you know Ex Libris pioneered the concept of “Open Platform” in the industry years before other vendors started to open their APIs…. Since Alma is a cloud-based solution, we know we have even stronger responsibility to deliver a platform that gives our customers the flexibility and control over their data that they expect …. That is why we are developing the Alma developers platform – or the Alma API platform – where we’ll deliver many different options such as web-services, out of the box interfaces and ability for developers to create extensions that fit the unique needs of their institution Last note – we also plan to deliver the “next generation of EL Commons” as part of the new API platform with existing new capabilities like the API console that will allow developers to actually test API on the Developers portal itself. Let’s move know to the 4th success factor which is Configurability & Scalability and specifically I want to talk about our “Collaborative Network” concept …. Alma Extensible Architecture

Collaborative Networks - Unprecedented Collaboration A group of institutions with relationships/collaboration in a specific library business area (e.g. collection development, resource sharing, remote storage) Each institution can be part of many networks in multiple business areas How many of you have heard the term “Collaborative Networks” already….raise your hands…. Well if you didn’t hear it before – you must attend the session later today about Alma Collaborative Networks…delivered by Dana…. When it comes to changing the way libraries work together Alma is really a “game changer” …..we call it “Collaborative Networks” and not just simply “Alma for consortia” because we believe that the old consortia services that typically involved shared cataloging and resource sharing should evolve to include collaboration across all library services including collection development, fulfillment etc. As you know we are working on Alma implementation at Orbis Cascade Alliance where we are delivering a “Network Zone” which is the area where consortia could collaborate – and when they started to test it the project manager from the Alliance wrote to us – “You guys are awesome” ….this is really a major step going forward for the alliance to achieve their vision of collaboration between 37 institutions that previously had 37 separate systems or silos… I want to finish my presentation talking about the 5th success factor which is “innovation” and specifically I want to focus on Analytics…

Defining Analytics Analytics is the use of data, statistical analysis, and explanatory and predictive models to gain insights and act on complex issues. (EDUCAUSE) DATA ANALYSIS AND PREDICTION STRATEGIC QUESTION INSIGHT AND ACTION So what is Analytics – some of you in the audience are saying to yourself…..it’s just a fancy new marketing word for reporting…. Well – you are wrong…. I’ve taken this definition from Educuase - Analytics is the use of data, statistical analysis, and explanatory and predictive models to gain insights and act on complex issues. Analytics is what will change your system from being just an “inventory management” systems to a real “decision support systems” It will allow you to make data-driven decision that will ensure the library really fulfill it’s mission to meet the needs of future users and deliver institutional value.

Analytics Use in Libraries is Lagging Faculty promotion & tenure Faculty teaching performance Facilities Procurement Human resources Cost to complete degree Faculty research performance Library Enrollment management Research administration 100% Alumni/advancement This is another slide from Educause recent study about the usage of Analytics in Higher Education ….. The library is ranked #10 from a list of 17 entities on campus when it comes to usage of analytics…. Way below enrollment management, finance, student learning etc…. We need to change this ….Libraries should be at the front of the line – getting insights and taking actions that drive value… Finance and budgeting Student learning Progress of strategic plan Student progress Instructional management Central IT Source: 2012 Study of Analytics in Higher Education - Educause

Analytics - Data-Driven Decision Making HOW CAN we make it happen? Prescriptive Analytics Difficulty Predictive Analytics WHAT WILL Happen? Descriptive Analytics HOW should we take action? Ability to model, manage, and adapt WHY Did it happen? Data-driven planning and forecasting WHAT happened? Managed Reporting Ad Hoc Reporting Analytics Dashboards Scorecards & Benchmarking Dashboard for managers and analysts And this is why we’ve made Analytics an integral part of Alma – exactly like Acquisitions and Fulfillment is a standard workflow …..so is analytics… We are just in the early stages of our plans about analytics – we have delivered a strong platform that allows everyone to easily create complex reports – and we have created dashboards that people can customize …..but we are working on real “game changers” that will allow libraries to go from understanding “what happened” to what “will happen” and “how can we make it happen”……moving from the old ad-hoc reporting to Predicative Analytics ….. You should not missing the session this afternoon about Alma analytics by Asaf….we have some really exciting things coming…. Thank you all and enjoy the rest of the conference… Increase in ad hoc reporting and Information on demand Primarily batch and some ad hoc reports Value Hindsight Insight Foresight

Thank You bar.veinstein@exlibrisgroup.com
