Hosting BUSA events Toby Emmerson Sports’ Administrator ULU

Purpose of the presentation Overview of hosting BUSA events – me A specific event (BUSA Golf Order of Merit) – Carol Cherry, Leeds Met. Opportunities to host – Lucy Crickmore, BUSA Sports Programme Manager

Introduction 2 ½ years AU Administrator at Birmingham, helping to organise BUSA Indoor Finals. Sailing, Archery, Squash and Kayaking also hosted at Birmingham during the time I was working there. Currently responsible for running ULU sport, involving Event Organisation of Cup finals over four consecutive weekends.

ASK YOURSELVES… What sort of things do we need to consider when hosting events? And specifically when working with an organisation such as BUSA?

1) Basics Facility Capability Budget Timing Manpower Health and Safety

2) Sports Specific Extras Changing Facilities Physios/Physio Area Sports Specific equipment (hire in?) Eg Fencing mats and scoring boxes, launches etc. for rowing/sailing.

3) Non-Sports Specific Extras Accommodation Catering Bars Spectators Office Space First Aid

4) Responsibilities Only one bullet point – areas of responsibility. Who is due to do what (everyone at Birmingham said that this was the most important thing to mention in the session!)

Areas Of Responsibility Using Indoor Finals as an Example Birmingham have been running it for a number of years, BUT, vital to get everything noted. NB date of Event Briefing.

Things to note As many times as possible detailed. Everything has someone ‘leading’ unless blindingly obvious who it refers to. As well as sports, all other events detailed. Catering, First Aid and Media are all important. Extras (no, not that type) are always welcome eg ‘What’s On Guide’, Photographer etc.
