iLab Solutions Lab Management System August 25, 2015 – InterAC Forum Presentation

Wake Forest Baptist Medical Center iLab Implementation Project Liaison Laurie Molloy, Director, Research Center, Institute, and Shared Resources Administration, BRSA

Wake Forest Baptist Medical Center 3 What is a Lab Management System Standard Definition: A Laboratory Information Management System (LIMS), sometimes referred to as a Laboratory Information System (LIS) or Laboratory Management System (LMS), is a software-based laboratory and information management system with features that support a modern laboratory's operations.

Wake Forest Baptist Medical Center 4 Typical Processes of a LMS Service request management, capturing key data at start Monitoring & communicating requests to core personnel Equipment reservation scheduling services, logging time associated with services provided Enhanced sample management Acquisition and storage of analytical data Printing and storing analytical reports and invoices Automated billing and collection processes, with interface to PeopleSoft financial system Protecting and securing all data and reports

Wake Forest Baptist Medical Center 5 Why is a LMS Needed Automate and standardize administrative functions to free up faculty and technicians to focus on laboratory work Streamline and document data throughput and reporting processes Improve accuracy of services from request through payment Automate tracking and reporting of work performed Validation of chart fields and requests at time of submission Improve logging, billing and collections related to services performed

Wake Forest Baptist Medical Center 6 Typical Benefits of a LMS Improved sample management – logging data requests Capture of data from lab instruments, or through scheduling Audit support for tracking data elements, improved compliance with regulatory guidelines Reporting flexibility – data downloads Access to data and reporting for labs and requestors Improved lab productivity – focusing on lab work Reduced errors or billing variations

Wake Forest Baptist Medical Center iLab Solutions Software

Wake Forest Baptist Medical Center 8 Why did we choose iLab as our LMS iLab is a leading vendor that serves over 1,000 core facilities across more than 100 research institutions in eleven countries, including 40 of the top 50 recipients of NIH funding. Over the past 4 years of investigating various options for a LMS, iLab and the associated Vanderbilt CORES systems, always topped the list –they have merged iLab is already installed for WFIRM core labs and is working well to meet their needs

Wake Forest Baptist Medical Center 9 Overview of Implementation Plan The implementation of this product will begin in August, and will be active throughout the fiscal year. The Shared Resource/Core laboratories will be integrated in phases. Since the WFIRM core labs are already using the software, the first step will be adding the front-end authentication software and the back-end interface with PeopleSoft Financials for their labs, while we start preparing the first phase of new labs for implementation. Budget for the iLab LMS will be paid through ITS
