Purpose  Vintage Amarillo is hosted by the Guild every other year in order to support the educational programs of the Amarillo Symphony.

How it started The Amarillo Symphony Guild developed Vintage Amarillo in 2000 to enhance the Guild’s fundraising efforts. Since that time, the project has become one of the Amarillo Symphony Guild’s largest fundraising events.

What is Vintage Amarillo? Preview Party  Wine Tasting  Small live auction  Opportunity for auctioneer to meet auction bidders for main event Wine Auction and Dinner  Dinner with wine pairings  Silent Auction  Live Auction  Fund A Need

Budget: Summary Financial Goal$ 52,000 Total Income $109,411 Total Expenses $ 42,287 Net Income$ 67,124 Fundraising Percentage: 61% Underwriting needed for event: $0 Inkind donations: auction items, dinner wine, linens, venue, A/V

Timeline One Year Prior  Select committee members, date, venue, theme & design event logo, build budget. 6-9 Months Prior to Event  Solicit items for live and silent auction. All auction items need to be secured no later than 6 weeks prior to event.  Coordinate with TABC.  Hire and consult with auctioneer. Finalize all auction details no later than 6 weeks prior to the event.

Timeline 3-6 months prior to the event  Confirm dinner event wine donors  Plan event menu & wine pairings. Details should be finalized no later than 6 weeks prior to event. 3 weeks – 3 months prior to event  Finalize all printing needs and publicize event.

Timeline Week of event  Final preparations for event including auction items and check-out needs Day of event  Silent Auction concludes prior to start of live auction.  Live auction begins after dinner is removed and dessert is placed on table.

Volunteers  19 volunteers served on event committee  10 volunteers needed the night of the event  Additional support provided by office staff

Impact on Community  Vintage Amarillo is an effective fundraiser because the primary donors to the event do not generally support Amarillo Symphony Guild fundraisers.  Funds raised by Vintage Amarillo help the Symphony Guild to achieve its goal of supporting the education programs of the Symphony.
