Preparation for ICD-10 on October 1 Providers/Programs tab End dates should be added to ICD-9 codes. The Convert button can be used to convert any of the ICD-9 codes to ICD-10 codes, if converting. If adding new codes by clicking on the Add Diagnosis Code button, you’ll need to add the 10/01/2015 (or later) date to the Start date field before attempting to add a new code, or the ICD-9 code list will be used. Services Rates tab – Effective on date in the rate needs to be 10/01/2015 or later to use the ICD-10 code list, so add new rates for any rates that contain diagnosis codes. Supplies Rates tab – like Service Rates, the Diagnosis field is date driven by the Effective on date. Any supplies that have diagnoses listed will need new rates set up. Vaccine Services Rates tab – Diagnosis for admin code pointer field. If you use this field for a diagnosis other than the vaccine diagnosis, this will have to be updated.
Preparation for ICD-10 on October 1 (cont.) Convert Option There is no Convert button to convert codes from ICD-9 to ICD-10 on any tab other than Providers/Programs. You could run reports to gather lists of the various ICD-9 codes you have in Nightingale Notes, and then use an ICD-9 to ICD-10 code mapping tool, similar to the Convert button, to compile the same list of ICD-10 codes. You could use this to create a “cheat sheet” for users when adding ICD-10 codes in Nightingale Notes. One of these tools is available on the American Academy of Professional Coders (AAPC) website: I can create a few simple reports with ICD-9 codes. If you want us to copy the reports to your database, send an to with the request.
Child Vitals Changes We had made some changes to the Child’s Vitals tab as seen in the Vitals section. Here is a screen shot of the old vs new Child’s Vitals tab. Old:New:
Child Vitals Changes We have removed some fields such as Immunizations up to date, Child father involved and Child checkup appt date. User feedback indicated those fields would often require additional information to clarify. Thus, we felt it more appropriate to have that information documented in the charting areas.
Child Vitals Changes Additional feedback we received indicated the importance of capturing birth history information. In response, we have added an additional section to the Health History tab in Client details. The information collected here will populate on the Client Referral/Admission Data report. They are also available in all Client detail related Report Wizard screen views for reporting.
Child Vitals Changes Note that Birth History values can be captured in metric or imperial by just clicking the link, Enter metric values or Enter imperial values.
Follow-through from Imms Tab to Supplies Tab We have now added the functionality for vaccinations given within the Immunizations tab to automatically flow to the Supplies tab within an Activity.
Follow-through from Imms Tab to Supplies Tab Once you have checked off those vaccinations you want to include in an Activity, select New Activity for Selected Vaccination.
Follow-through from Imms Tab to Supplies Tab This will take you to the Activity details screen. Enter in the required information, Service at a minimum, along with other information your agency collects.
Follow-through from Imms Tab to Supplies Tab Click on the Supplies tab. Update any of your supply information needed for billing if not correct. Click Save.
Follow-through from Imms Tab to Supplies Tab All of your Immunizations given along with the information captured will now appear on the Visit Report. In addition, the report screen Immunization Info is available in the report wizard to pull any additional immunization related reports.
Follow-through from Imms Tab to Supplies Tab Not able to check a box for a vaccination to add to Supplies in your Activity? Hover near the check box and a reason as to why you aren’t able to check the box will appear. Here are some examples of messages you might see. Not added in NN will appear if the vaccination has been entered as Historical or if it has populated from your state registry. Must have a supply specified or Must have a pay source specified will appear if the vaccination has not been set up as a Supply or if a Pay Source has not been set up for a Supply.
Follow-through from Imms Tab to Supplies Tab You will see an edit symbol next to the vaccination if an activity has been successfully created as seen below.
VIS Languages We have added the ability to add Language to your Vaccine Information Statements (VIS) along with their Effective on date.
VIS Languages Go to Setup in Nightingale Notes. Click on Vaccine Information Statements.
VIS Languages Add in all your Vaccine Information Statements along with their Effective on dates and Language that you utilize at your agency. All pre-existing VIS statement entered prior to this change will default to the language of English.

Please note that if you have already set up your Vaccine Information Statements in your Supplies before this change, adding in your additional languages will not require that you visit the Supplies tab again.
Discussion about Change to Vaccine Services There has been a change of plans to the way that we were going to implement a new solution for adding vaccine administration to the clients’ Supplies tabs. This change in plans caused a delay to our original release date, which was to be this weekend. After the release, a supply will be linked to a vaccine service, so there will be a dropdown in Setup Supplies for the vaccine service you wish to tie to the supply. This will remove the issue of more than one possible match between vaccine supplies and vaccine services. Development will create reports of supplies that they could not link to vaccine services.
End Date for Non-Standard Episodic Claims The end date for an episode, when shortened for a PEP or LUPA, will now be taken from the Subscriber End on date, for the episodic pay source. This date will be used as the Statement End Date on the claim. If the End on date is in a different month from the original end date of the episode, the claim will be in the earlier billing cycle. For example, if a client has an episode with dates of 8/16/2015 to 10/14/2015, but his Medicare eligibility ends on 9/10/2015. You would enter the 9/10 date in the Subscriber’s End on date, and then look for the final claim in the September billing cycle.
