Emergency Projects
Defined The Office of the State Architect manages the emergency controlled maintenance fund. When a general funded or academic building or infrastructure emergency arises that poses a threat to public health, welfare, or safety and the expense is anticipated to be over $5,000, the agency must notify the Office of the State Architect and the Office of State Risk Management and follow the required procedures.
Process Changes All Controlled Maintenance fund transfers to Emergency Projects require Budget Documents (BG) in CORE – Higher Ed and State Agencies please contact Fiftwo Baldwin, Higher Education Fiscal Coordinator, to complete these documents – Paper SC-4.1 still required for transfer
A/E and Contractor Pay Applications require a matching invoice from the vendor Please scan and copies of Invoices and Pay Applications Contractual documents must still be sent via snail mail/interdepartmental mail 6 month expiration deadline and request for extensions Please include pictures of all emergency requests
