Session 6 Achievement Testing Pre-Test Training Spring 2016 AIMS Science Testing

Spring 2016 AIMS Science Key Dates calendar is available: ADE website under the AIMS Science Resources PearsonAccess.com Print and keep a copy for easy reference to AIMS Science Key Dates.

Pre-Test Training January All Sessions of the Achievement Pre-Test Training must be completed and verification must be submitted by January 15.

Participation Count Window January PearsonAccess Window closes by 5:00 PM, MST. Friday January 15, AIMS User’s Guide posted on PearsonAccess. Start participation counts immediately. Do not wait until January 15 to start the participation counts.

Participation Counts Window Contact and Shipping Information Verify Contact and Shipping Information Go to Organizations tab, select View Organizations. Your district will be displayed. Click the link with the district’s name. Click the Contacts tab to view your contact information. Name, Address, , and Phone

Participation Counts Window Contact and Shipping Information AIMS Science materials will be shipped to the address listed. All corrections/changes to the contact information must be submitted by to by January

Participation Counts Window Verify participating schools Verify Schools Verify that all schools within the district/charter are listed correctly. If a school is not listed, contact Mary Pat Wood. If a school is listed that is no longer open, contact Mary Pat Wood.

Participation Counts Window School Status School Status The status column shows whether the participation counts for a school is “Not Started”, “In Progress”, or “Complete”.

Participation Counts Window School Status School Status “Not Started” – indicates that the participations counts have not been entered. If a school is not participating in AIMS Science, contact Mary Pat Wood to remove a school from participating. Participation counts are not complete at this time. “In Progress” – indicates that some counts have been entered and saved, but the counts have not been marked as “Complete.” Participation counts are not complete at this time. “Complete” – indicates that counts have been entered and marked as complete. This will serve as a signal to ADE that you have confirmed your counts for that school.

Participation Counts Window Manage Participation Counts Manage Participation Counts For each school within the district/charter the participation counts must be verified. Click on the link with the school’s name to open the participation counts screen for the school selected. Schools that do not have students eligible to test, verify all counts are zeros.

Participation Counts Window Manage Participation Counts ADE provided preliminary participation counts for most schools. Grades 4 and 8 Science counts are the same as school enrollment. High School Science count is the number of Cohort 2018 students who did not get a valid AIMS Science score from Spring 2015.

Participation Counts Window Manage Participation Counts Verify and update participation counts in the appropriate rows and columns as necessary Enter exact counts needed. An overage will automatically be included in the materials shipped to the district. Check the “Status: Complete” box when finished and then click Save and Next.

Participation Counts Window School Status Schools Marked “Not Started” or “In Progress” ADE will continue to monitor the status of these schools. Please have all schools marked as Complete BEFORE January 15 so ADE does not have to continue to contact you. All participation counts can be revised until 5:00 P.M. MST on January 15, even schools that were previously marked as “Complete”.

Large Print and Braille not ordered by January 15 may not be available during the Additional Order window. All participation counts can be adjusted anytime prior to January 15, 5:00 P.M. MST.

For any school that is listed as “Not Started” or “In Progress,” complete the participation counts and check the “Complete” box. Pre-ID Labels January 27 Data Extract from SAIS/AzEDS for Pre-ID Labels will be January 27. Students in Grades 4 and 8 Students in Cohort 2018 that do not have previous AIMS Science test scores. Students in Cohort 2019 that are identified in the HS AIMS Science Pre- ID Label Selection.

AIMS HS Science Pre-ID Label Selection January 12 – January 27 The label selection application in ADEConnect is used to identify Cohort 2019 students who are opting to take the Spring 2016 AIMS HS Science Test. Available January 12 - January 27, 5:00 PM MST.

Test Materials Delivery Window February 29 – March 3 All materials will be shipped to the District Test Coordinator for all schools within the district/charter. When materials are delivered, verify that all boxes in the shipment were received and that all boxes are addressed to your district before signing for the delivery.

Test Materials Delivery Window Verify all boxes are received Each box will be hand numbered. District boxes will be first, then followed by school boxes. The Test Coordinator’s Kit (white boxes) will always be the beginning of the district set of boxes and at the beginning of each school’s set of boxes.

Compare the box range and the number of boxes shown on the Pallet Detail sheet with actual number of boxes received for district and each school. If boxes are not received by March 4, Contact AIMS Help Customer Service Line at Pearson.

Test Materials Delivery Window Inventory Materials Find and open Box 1, white box. Find the District Packing List. Open all the district boxes. Verify the materials received against the District Packing List. Note any discrepancies on the packing list. Materials included in the district shipment is an overage amount. Do not distribute these materials to schools unless needed.

Test Materials Delivery Window Inventory Materials Find and open Box 1, white box. Find all the School Packing Lists. These are duplicate copies for the District Test Coordinator. Each school will receive copies in their school Test Coordinator Kit. Do not send these to schools.

Test Materials Delivery Window Inventory Materials The school test materials may be inventoried before delivering to schools or after delivering to schools. The school’s copy of the School Packing List is in the school’s first box. Each school is to verify materials received against the School Packing List. Note any discrepancies on the packing list.

Additional Order Window March 4 – April 8 Verify each school has enough scoring and shipping materials in its Test Coordinator’s Kit(s). If additional test materials or scoring materials beyond what was included in the district overage and district Test Coordinator’s Kit(s) are needed, submit an additional order. Order as early as possible. Additional materials will be shipped as they are submitted.

Nonscorables Scorables Return of Materials Scorable Test Materials

Scorable materials include only standard, regular-sized used AIMS Science answer documents. Completed Header Sheets. School Header List.

Return of Materials Scorable Test Materials Verify student responses have been transferred to a standard regular-sized answer document. Braille Large Print Organize answer documents. Grade/Cohort Teacher, if desired.

Return of Materials Scorable Test Materials Header Sheets must be completed for each group. Only one grade or cohort per group. Preslugged and blank header sheets are provided in the Test Coordinator’s Kit. Preview preslugged information. Do not alter any preslugged information.

Return of Materials Scorable Test Materials School Header List Complete 1 per school. Contains information used to verify that the school’s entire return shipment of scorable materials has been received. Complete all required information. Keep a photocopy of the Header List.

Return of Materials Scorable Test Materials Bind each group of scorables. Place completed header sheet on top of stack of scorables for each group. Place bundled groups in the return shipping boxes in reverse order that they are listed on the School Header List. Place the School Header List on top of the first box for each school. Seal boxes.

Return of Materials Scorable Test Materials Box scorable materials. Seal boxes. Affix an orange scorable return label to the top of each box. Number scorable boxes. Complete both a district and school box count. Each box count should only include the number of boxes with orange labels.

Return of Materials Nonscorable Test Materials Nonscorable materials include: Used and unused test books, Unused answer documents, Used and unused Large Print and Braille test materials, AIMS Test Administration Directions AIMS Test Coordinator’s Manual Unused color-coded return shipping labels, Unused shipping labels (UPS or FedEx), Unused Pre-ID labels Unused preslugged header sheets.

Return of Materials Nonscorable Test Materials Complete School Materials Inventory Sheet for each school. Complete District Materials Inventory Sheet for the district. Count the number of each type of documents and note it on the appropriate Materials Inventory Sheet. Note any missing test book and provide an explanation. District nonscorable materials are returned with the school nonscorable materials.

Return of Materials Nonscorable Test Materials Box nonscorables. Do not mix scorable and nonscorable materials in the same box. Place the corresponding School Materials Inventory Sheet at the top of each school’s first nonscorable box. Place the District Materials Inventory Sheet at the top of the box of nonscorable materials that will be marked as the first nonscorable box for the district. Seal the boxes.

Return of Materials Scorable Test Materials Affix a green nonscorable return label to the top of each box. Number nonscorable boxes. Complete both district and school box count. Each box count should only include the number of boxes with green labels.

Return of Materials UPS Ground Shipping Service Contact UPS Ground at the phone number on the UPS Shipping label. Scorable and nonscorable materials are shipped to different addresses. Correct label must be used. Phone number is the same for both scorables and nonscorables

Return of Materials Shipping Services District Test Coordinators must confirm that all AIMS Science materials are picked up and out of the district/charter by April 26. If materials are not picked-up by April 26, contact Mary Pat Wood immediately for additional shipping directions. Districts/Charters will be charged for additional shipping costs. Test results may be delayed.

Test Results Score reports and data files will be posted on PearsonAccess on May 23. Paper reports will arrive in districts on June 6. The last day to notify Pearson of corrections is June 20. All reports will be removed from PearsonAccess on June 20.

You have now completed all trainings for the Spring 2016 AzMERIT and AIMS Science Test Administrations.
