QUESTnet Workshop Video Conferencing & The One USQ Connectivity Project Presented by Troy Downs (Manager Unified Communications Projects)

Video Conferencing Background USQ has traditionally had an ad hoc strategy to Video Conferencing (VC) in providing intercampus communications. ICT Services has provided centralised infrastructure, with business units driving demand and funding of end points and usage scenarios. This has led to lack of maintenance and renewal of equipment, leading to inconsistent interfaces, inconsistent quality, increased failure of conferences, and a generally poor experience.

USQ VC Solution Cisco TelePresence VCS ControlProvides Internal Call Control Cisco TelePresence VCS Expressway Provides NAT/Firewall Traversal and External Call Control Cisco TelePresence MCU 5320 Provides multipoint and ad-hoc conferencing (for CUCM in this case) Cisco MSE 8000Provides multipoint and ad-hoc conferencing Cisco TelePresence Management Server Provides management platform and scheduling Interface Cisco TMS Extensions for MS Exchange Provides conferencing scheduling using MS Exchange Cisco Digital Media Manager Provides management and authentication for Show and Share Cisco Show and ShareProvides Video on Demand to user desktops Cisco Media Experience EngineProvides multimedia transcoding capabilities Cisco TelePresence Content ServerProvides on-demand streaming and recording capabilities

One USQ Connectivity The Project ICT Strategy Board has provided an allocation of funding to improve the overall experience of Video Conferencing for staff administrative uses and teaching and learning activities.

One USQ Connectivity Funding The overall budget envelope is $915k and the draft proposed allocation (which will be reviewed as detail costings are calculated in the early project phase) is below. Funding is required to be expended in $350kUpgrading end of life and out of support Video Conferencing endpoints $270kVideo conferencing usability and extension $295kStage 2 Wi-Fi Expansion $915kTotal

One USQ connectivity Some of the Expected Deliverables Comprehensive review of Video Conferencing locations and equipment, identifying equipment that needs to be replaced Prioritised replacement of equipment and upgrade of end points, in conjunction with consideration of the holistic AV upgrade of teaching spaces Development and coordination of a support model for VC Co-ordination of training and proactive support resources Roadshows and user sessions to showcase current capabilities, identify additional usage opportunities, identify usability issues Development of overall VC strategy, with a view to providing a centrally managed and funded enterprise wide solution across USQ Develop 5 year roadmap Develop proposals for ongoing refresh model

Endpoints 48 room based systems across 3 campuses, Toowoomba, Springfield, and Fraser Coast. With addition endpoints to be added when USQ takes on Ipswich campus and the new Edgy building at Springfield campus. USQ has over 130 teaching and learning spaces that require upgrades. USQ currently does not have a Desktop or BYOD video conferencing solution. Video enable Desk Phone

Future Funding Stage 2 and Beyond Additional funding has been identified for One USQ Connectivity in the ICT Investment Portfolio Plan for In addition USQ Council has approved additional investment in the Technology Fit-out of Teaching Spaces over the next five years across all locations. Detailed planning for this is about to commence and will build from the One USQ Connectivity Project. More details on this will be released next year.
