As a VeriFone Authorized Service Contractor you will need to know, become familiar with, and understand Ruby Manager. This software program will be used to backup and restore data on VeriFone POS terminals. Ruby Manager Overview Introduction

What is it? Ruby Manager is a Windows-based software solution that allows a user access to data and files in the VeriFone POS system. How is it used? Ruby Manager allows a VASC to backup and restore data in the VeriFone POS system. As a VASC you will be able to create a site for each location you support. After creating a site you will be able to backup and restore datasets such as PLUs, Departments, and Fuel Configuration. Backed up datasets can be exported and stored on alternate storage devices, such as a CD, corporate LAN/WAN, and thumb-drives. Features and Functionality Ruby Manager Overview

HASP Key When purchasing Ruby Manager a HASP key is included. HASP is an acronym for Hardware Against Software Piracy. Prior to accessing Ruby Manager the appropriate HASP key must be connected to the computer. The HASP key allows a user to access the program. HASP keys are manufactured two different ways – USB or 25-pin. When purchasing Ruby Manager you will be sent the USB connection unless you specify the 25-pin. Ruby Manager Remote Ruby Manager is really two programs in one. Ruby Manager Remote includes all the features and functionality of Ruby Manager. Ruby Manager Remote includes a scheduler and is used primarily for sites who wish to change configurations away from a location – or remote connectivity. The site would need to have an external modem connected to the VeriFone POS in order for Ruby Manager Remote and the scheduler to function. As a VASC, you will usually be onsite to backup and restore data, therefore, Ruby Manager Remote will not be used. Features and Functionality Ruby Manager Overview

To access Ruby Manager, you may have a shortcut on your desktop. If so, you simply click on the shortcut. If you do not have a shortcut on your desktop then click on Programs, Ruby Manager, then click on Ruby Manager. Do not select Ruby Manager Remote – remember in order for this program to work the site would need an external modem and you would be connecting to a phone line. When you access Ruby Manager the version number will be displayed. Please be aware version 1.43 and 1.53 are the current Ruby Manager versions VeriFone supports. Accessing Ruby Manager Ruby Manager Overview

As a VASC, in order to backup a site’s data files, you will first need to Create a Site. To create a site in Ruby Manager you will click on SITE, then NEW. Creating A Site Ruby Manager Overview

To the left is the Site Configuration screen. When creating a new site you will need to complete this screen. The Site Configuration screen includes the name and address of the site as well as contact information. On this screen you will have a very important option: Backoffice Interface. When connecting to a VeriFone system using Ruby Manager you will need to ensure the backoffice interface on the VeriFone terminal is the same as the backoffice interface for the Site Configuration. If the interface on the terminal side does not match the Ruby Manager or PC side you will not be able to backup and restore data. Creating A Site Ruby Manager Overview

After completing the Site Configuration screen you will need to save the information. To save Site Configuration you will click on SITE and then SAVE. Creating A Site Ruby Manager Overview

To the left there are 8 “buttons” labeled. These are the most commonly used functions in Ruby Manager. 1. Exit – Exits Ruby Manager 2. Step Back – Backup 1 screen 3. Save – Saves edited data 4. Reports functions 5. Data List – Data currently in Ruby Manager 6. Edit Manager functions 7. Fuel Manager functions 8. Edit Site Configuration Basic Navigation Ruby Manager Overview

As a VASC understanding the functions of “Getting Data Files” and “Sending Data Files” is extremely important. Getting Data Files When connected to a VeriFone terminal, Getting All Data Files, is considered the same as backing up the files in Ruby Manager. Once you have created a site in Ruby Manager, the very next step will be to Get All Files. This function retrieves specific files from the VeriFone terminal and downloads them into Ruby Manager. Typically, Getting Data Files, will be used to backup files prior to performing software upgrades. Getting and Sending Data Ruby Manager Overview

Sending Data Files Sending Data Files is considered the same as a restore of data files. The only time you will be using, Sending Data Files, will be: When you have made a change to a file using Ruby Manager and now wish to send the change to the VeriFone terminal, and After a software upgrade has been performed. As a VASC it will be critical you understand Getting Files versus Sending Files. For example, you go to a site to perform a software upgrade. The VeriFone system has been up and running for several months. You will first create a site, then you will Get All Data Files. What would happen if you accidentally selected Send All Data Files? If you accidentally selected Send All Data Files after creating a site you will erase all data files out of the VeriFone terminal! Getting and Sending Data Ruby Manager Overview

Here’s another example, after creating a site, getting all files, and performing a software upgrade you accidentally choose Get All Data Files. What would happen? If you accidentally selected Get All Data Files after performing a software upgrade you will erase all the data files in Ruby Manager for the site! After a software upgrade there will be no data files configured on the terminal. By retrieving the empty data files from the terminal they will be replaced in Ruby Manager.
