5 Primary Site Test Coordinator Responsbilities  Inventory test materials  Distribute, collect, count, and return all test materials to locked storage  Provide test procedures and security procedures training to test administrators and proctors  Act as a liaison between your school and the district testing coordinator  See your workshop training manual for a more detailed list of responsibilities

6 AIMS HS Writing Field Test  Approximately 200 schools and 33,000 students will participate.  11 new writing prompts will be tested.  No student reports will be produced.  Encourage students to do their best.  TUSD Schools involved: Catalina, UHS, PACE Alt., Downtown Alt., and Southwest Alt.

10 Testing Calendar Writing & Writing Field Test – Tue., Oct. 31 One testing session of 2 – 2 1/2 hours Reading - Wednesday, November 1 One testing session of 2 hours Mathematics – Thursday, November 2 Two testing sessions of 90 minutes each with a significant break between sessions There are no make-up dates.

11 Testing Calendar  All AIMS tests are untimed.  The times given represent the estimated time necessary for the vast majority of students to complete the test.  For students who are not finished in the allotted time, arrangements must be made to allow them to finish the test immediately following the conclusion of the scheduled testing period.  No AIMS testing session may carry over to the next school day.

12 Students to Be Tested AIMS HS  All students in cohorts 2008, 2007, 2006 and below who have not yet “Met” on a content area are expected to test in that content area.  Generally 11 th graders, 12 th graders, and those who should have already graduated.

13 Students to Be Tested AIMS HS  All students in cohorts 2008, 2007, 2006 and below who have “Met” but not yet “Exceeded” on a content area may test in that content area.  Schools are responsible for establishing sign-up procedures for students who wanted to retest for exceeds.

14 Students to Be Tested Certain non-enrolled students may participate in testing in your school:  Private schooled students  Home schooled students  “Completer” students Bubble #6 (Not Enrolled) must be filled in on the back cover of the answer document

15 Students to Be Tested HS Writing Field Test  For schools selected for the field test, all students in cohort 2009 (generally 10 th grade students) are to participate in the AIMS HS Writing field test.  Private placement and voucher placement students are not participating in the field test.  Non-enrolled students are not participating in the field test.

16 Preparing to Test Carefully check your inventory list in box #1 of your shipment upon arrival:  Does the number on your enclosed inventory sheet match the number of tests needed?  If necessary, place a short-add order with Cindy Hurley no later than Oct. 25, 4:00 PM  Do not over-order. ADE is monitoring all test ordering.  After checking the inventory list, count all test materials and call Bert with any discrepancies.  Maintain an accurate inventory of all test materials from the arrival of test materials to the return of test materials

17 Preparing to Test  Determine which students will be testing.  Prepare student sign-in sheets.  Train test administrators and test proctors.  Select appropriate testing rooms and provide enough space for each student.  Remove or cover up visual aids.  Have an adequate supply of pencils, erasers, dictionaries, and thesauri.

18 Student Demographic Information Student Bar Code Labels  Each enrolled student (as of August 25) will have a bar code label for each content area in which they are testing.  A roster showing all of the demographic data for each bar code label is included with the labels.  Labels will be sorted alpha by cohort.  If a student has a label, use it.  Labels will be produced for the field test.

19 Student Demographic Information Student Bar Code Labels  Some missing or incorrect demographic data in the labels can be corrected for the test reports.  To do so, use the label and have school personnel bubble the correct information in the lower half of the back of the answer document after testing.

20 Student Demographic Information No bar code label:  For students without a bar code label, the demographic data grid on the back must be completed by school personnel.  The top half is to be completed before testing.  The bottom half is to be completed after testing.

22 Student Demographic Information Testing Accommodations  For the Fall 2006 test and field test, use the accommodations in Testing Accommodations: Guidelines for for students who qualify.  Only the test administrator who provides the testing accommodations should complete the inside front cover after testing.

23 Accommodations Information  Accommodations are coded on the inside front cover of the answer document. Do not need to fill in the “Other Information” Grid.  Must be completed by school personnel.  All students, with or without student barcode labels, who receive standard or alternate accommodations must have the appropriate information coded.  Alternate accommodations must be provided if stipulated on student’s IEP.

25 Filling in Standard Accommodations for AIMS  Fill in the bubble that applies if a student has an IEP, 504, or is an English Language Learner  Bubbles must be filled in for each content area that applies  Braille and Large Print are standard accommodations

26 Filling in Alternate Accommodations for AIMS  Fill in the bubble that indicates if a student has an IEP or a 504 (in unusual circumstances approved by ADE).  Fill in the bubble that indicates which alternate accommodation(s) the student received  If student received an alternate accommodation not listed, fill in the bubble that indicates “another alternate accommodation” was used and this accommodation must be approved by ADE.

27 During Testing  Test Administrators and Proctors must administer the test exactly as directed in the Test Administration Directions.  Test Administrators and Proctors should “Actively” proctor the test.

28 During Testing Active proctoring includes:  Confirming that only the appropriate students test  Verifying that students testing on both Writing and Reading use the same answer document for both days  Maintaining the scannablity of the answer documents

29 During Testing Active proctoring includes:  Maintaining accurate sign-in pages and test material inventory during testing  Watching for student misconduct  Use of inappropriate resources (scratch paper, calculators, cell phones, iPods, etc.)  Disruptive behavior  Giving or receiving answers  “Imposter” students

30 During Testing Active proctoring includes:  Confirming that correct student name is handwritten, by student, on both test book and answer document.  Confirming that all test materials have been returned prior to dismissing students.

31 During Testing  Be available to answer questions from test administrators  Ask Cindy Hurley for guidance when uncertain what to do ( )

32 Test Security  Test materials must be in locked storage when not in use.  Tests must be administered exactly as directed in the TCM and Test Administration Directions.  All test materials must be returned to CTB.

33 Test Security  Do not reproduce any test books or answer documents.  Do not disclose any test items, ever.  Do not discuss any test item, ever.  Do not preview, read, study, or examine the test.

34 Test Security  Do not review, read, study, or examine any student response, writing draft, or final writing response.  Do not provide answers to students.  Do not change a student’s answer.  Do not influence a student to change an answer.

35 Test Security  Do not allow students to share information during testing.  Do not allow student to use inappropriate resources during testing.

36 Test Security  All school/district personnel who have access to the AIMS HS test must sign a Test Security Agreement.  These agreements must be kept on file at schools.  One copy, signed by the school principal must be returned to the test warehouse during check-in of materials.

37 Test Security Violations of test security are serious.  Student results may be invalidated.  Teaching certificates may be revoked.  School funds may be withheld. Training staff and monitoring students and staff during test are the best ways to avoid test security violations.

38 Test Security  All possible test security violations must be reported to Cindy Hurley as soon as is practical ( ).

Receiving & Returning Test Materials to TUSD Testing Wareshouse

40 Receiving Test Materials  School delivery window for Fall 2006: October  All test materials including bar code labels will arrive at this time.  For schools participating in the HS Writing field test, Writing FT test books/answer documents, Test Coordinator Kit, and Writing FT bar code labels will arrive in separate boxes during this same window.

41 What To Expect in Your Shipment  Inventory List from CTB with our confirmation and/or corrections  One Test Coordinator Manual  Student bar code labels and roster  Test books for each content area  Combined Writing/Reading answer documents  Math answer documents

42 Inventorying Materials  Open arrival, open Box 1 and verify from the inventory sheet that you have enough tests. If not call Cindy Hurley immediately, and no later than 4:00 PM on October 25.  Then as soon as possible,open all of the boxes and count the materials. Verify the material amounts indicated on the packing list. If there are any discrepancies, call Bert,  NOTE: This year we have numbered all the test booklets.

43 Student Bar Code Labels  Three sets of bar code labels  Writing/Reading  Mathematics  Writing FT  Place the label with the bar code on the front of the corresponding answer document.  Only the Test Coordinator, Test Administrator, or Test Proctor should place bar code labels on answer documents.

46 Student Bar Code Labels Place student bar code label in the designated area. Use only a CTB-generated label with a bar code. Do not write or mark in the designated bar code label space. Do not retain unused labels. Return with your non-scorables.

47 Returning Materials to TUSD Testing Warehouse Answer Documents:  Separate used (scoreable) answer documents by cohort.  Separate cohorts by a colored sheet of paper.  Unused or damaged answer documents need to be grouped together and returned with the used answered documents (scoreables).  All answer documents must be arranged face-up.

48 Returning Materials to TUSD Testing Warehouse  If any test materials were damaged due to biohazard, securely dispose of the test materials and make a note and discuss when return materials.  If you are a school administering the Writing Field test, be sure to keep the Writing Field Test answer documents separated from the regular Writing answer documents.

49 Returning Materials to TUSD Testing Warehouse Non-Scoreable Materials  Non- scoreable materials are the test booklets, Teacher Directions, Test Coordinator Manual, and Unused labels.  Keep the scoreables and nonscoreables in separate boxes.  If you are a Writing Field Test School, keep the non- scoreables separated from the regular AIMS Test non-scoreables (Writing, Reading, and Math).

50 Returning Materials to TUSD Testing Warehouse Review When returning materials to the TUSD Testing Warehouse, you should have at least two sets of boxes: 1.Box(es) with used and unused answer documents separated by cohort and with color sheet dividers. 2.Box(es) with all the non-scoreable materials 3. If a Writing Field Test School then will have 2 other sets of additional boxes: one with the WFT answer documents and one with the WFT non-scoreables.
