PowerPoint: POWERful or POINTless Dana Lane June 22, 2009

Building a presentation Develop an idea. Understand your purpose. (informative, persuasive, etc.) Know your audience. Construct an outline or flow for your presentation. Create slides. Decorate. (A little goes a L – O – N – G way.)

Presentation Tips Don’t crowd slides. Slideshow is an outline/guide for the audience and presenter. When it comes to transitions and animations, less is more!

Basic Building Blocks of a Slide Layout Design Background Transition

Adding, Deleting, Moving Slides Add a slide –Insert – New Slide Delete a slide –Edit – Delete Slide or choose the slide from the slide sorter and click the delete button on your keyboard. Move a slide –Choose the slide that you want to move from the slide sorter and drag it to where you want it to go.

Slide Layout Layout – the way elements (text, pictures, graphs, etc.) will appear on the page How do I change the layout? Format – slide layout Right mouse click on slide – slide layout

Slide Design Slide design – preformatted color/texture/font that will appear on each slide as its background How do I change the design? Format – slide design Right mouse click on slide – slide design Changing a slide design results in ALL slides being changed to that same design.

Background Background – developing the backdrop of a slide by changing colors, blending colors, or using pictures How do I change the design? Format – background Right mouse click on slide – background

Slide Transition Transition – the way a slide moves or changes from one slide to the next How do I change the slide transition? Slide Show – Slide Transition Right mouse click on slide – Slide Transition

Slide Transition After you select the transition for a slide, you have a couple of options that you can control. –Speed of the transition –When the animation starts If you will be presenting, never choose automatically after ____ seconds. You want to be able to control the speed of your show manually.

Pictures (clipart) To add pictures Insert – Pictures –Clipart (what came with your software)

Pictures (from file) To add pictures Insert – Pictures –From file (what you have saved on your computer)

Pictures (shapes) To add pictures Insert – Pictures –Shapes

Pictures (word art) To add pictures Insert – Pictures –Word Art

Custom Animation To add animation (movement) to any object on your slide, select the object and click Slide Show – Custom Animation; or select the object, right mouse click, and choose Custom Animation. I can animate this line. I can animate a picture.

Custom Animation After you select animation for an object, you have two options that you can control. –Speed of the animation –When the animation starts

Movies & Sounds To insert a video clip or a sound file, select Insert – Movies & Sounds. –Movie or Sound from clip organizer –Movie or Sound from file –Play CD audio track –Record sound

Movies & Sounds By right clicking on your sound or video object, you have options to customize your multimedia settings. –Automatic play or upon mouse click –Loop –Zoom video to full screen upon click

Hyperlinks You can link words or pictures to other slides, a web address, a different presentation, other Microsoft documents, etc.Microsoft –Select the word or picture that will be your hyperlink. –Right-mouse click and select hyperlink. –Select where you want the hyperlink to take you.

View the Slide Show

View Slide Show Slide shows can be viewed by selecting Slide Show - View Show or simply by clicking F5 on the keyboard. If you want to view the show from a certain slide number forward, select the Slide Show from current slide icon at the bottom of the slide sorter or hold down Shift and then F5.

Save the Slide Show

Save Slide Show Do not wait until the end before saving. Save periodically to prevent loss of information due to unforeseen events. File – Save As – choose the file location and name the file. File – Package for CD – packages any attachments, fonts, etc. into one bundle. –Great option if presenting with a different computer than the one you created the slide show on.

Presenting the Slide Show

Speaker Notes If there are notes you want to make for yourself that the audience will not see, type those in the notes section along the bottom. You can choose to print a copy of your slide show with your notes.

Handouts Slides Handouts – option to choose number of slides per page Notes Pages Outline View

Delivering the Presentation Test the slide show on the computer that you will use the day of the presentation. Advance slides – keyboard/wireless device. Deliver – do not read. Presentation skills are TOTALLY different than PowerPoint skills.
