ASP Organization Kétévi A. Assamagan

International Organizing Committee (IOC) – Bobby Acharya – Ketevi Assamagan – Christine Darve – John Ellis – Steve Muanza Please use that to communicate with all the members of the IOC 2

International Advisor Committee (IAC) – About 20 members – These are our contacts/connections to sponsors and funding agencies 3

Local Organizing Committee (LOC) – Our contact in the host country – Responsible for all the local aspects of the school organization – The productivity of the LOC is essential to the success of the school – The LOC must have at least one member responsible for all the computing aspects Reliable and fast internet connections Maintenance of computing and electronic infrastructure 4

Oumar Ka Diallo Boye Sokhna Bineta Lo Amar Youssou Gning Amsata Ndiaye Abdoulaye Taye Diouma Kobor Ahamadou Wague Anybody else to be added to the LOC? Steve to set up with the above – We need this list to be functional soon 5

The dates August 4-23, 2013 for 3 weeks – Try to fit the entire program in 3 weeks. It is becoming increasingly difficult – This option is not preferable for an effective coverage of all the major topics. But it is less expensive August 4-28, 2013 for 3.5 weeks – To handle fatigue, we must free up the afternoons of Fridays August 15 and 22. No lectures! – It will cost an extra 10,000 Euros to keeps the students for 5 more days We should decide now between these 2 6

IOC Visit to Senegal The IOC proposes to visit the LOC in Senegal Is September 2013 good? Purpose of the visit is to: – Agree on some practical aspects of the organization (costs of catering services, accommodation and internal transportation) – Inspect the proposed infrastructure If necessary, a 2 nd visit will be organized before the beginning of the school 7

Fundraising The short version of the proposal is now available. You are encouraged to use it to seek and secure funding for the school – =0&materialId=slides&confId= =0&materialId=slides&confId= We suggests that the LOC does its best to raise 20,000 Euros in cash for the school – From local agencies (private, government, universities, companies, …) – This is in addition to contributions in kind (that is, any infrastructure that the LOC will make available free of charge to the school) – is this feasible? – What are the contributions in kind? 8

Extra Support from CERN and ICTP All the financial contributions (except that of the ICTP) and support for AP2014 will be collected into the school account at CERN – Payments for the school will be made through the CERN financial services with all the applicable restrictions and verifications We will seek help from the ICTP on the purchasing of the student air tickets – The ICTP contribution will stay at the ICTP and be used for this CERN has offered to further help with the school organization, all aspects – Contact person, Fatima Najet 9
