Funding and Program Planning

Intro to Funding As a Purdue RA, you are fortunate enough to get multiple resources that can help fund events that you want to plan You are not limited to planning events that have no cost associated with them The two most important sources of funding for RAs include floor funds and hall/club funds

Floor Funds Though not necessarily a universal term, floor funds simply refers to the money directly allotted to your community This money can be used to purchase food, subsidize tickets, or fund other items you would like to use for your residents RAs can receive different amounts of floor funds depending on their hall, but it typically is around $200

Hall Funds Hall funds are generated from housing costs as a portion that each student pays to their respective hall This provides any given hall with potentially tens of thousands of dollars to plan “all-hall” events throughout the year This is relevant for an RA for two main reasons: Residents from anywhere in the hall can attend RAs can request funds from the hall to use for an all-hall program they would like to plan Hall funds are frequently used in events including free pizza, hall dances, comedy groups, inflatables, cookouts, and transportation, to name some

Floor Funds vs. Hall Funds To use floor funds, RAs can use CPK directly or the Purdue credit card for their hall (P-card) To use hall funds, RAs can use CPK directly or the P-card When using CPK online (see demo), be sure to specify which account is being used so that the appropriate source is billed The billing source is different when the order comes out of one type of funding This would matter whether you use money lent from club or funds you personally have access to for your floor

Important Resources Two resources are very commonly used by RAs throughout the year, including CPK and outside vendors CPK stands for Central Processing Kitchen, a service located in Meredith Hall that provides university-purchased goods and distributes them when ordered for an event CPK not only delivers but can cater, too! Outside vendors include certain university-approved restaurants and food providers that are allowed to deliver their goods if an RA or hall orders food from them Examples include Papa John’s, Insomnia Cookies, and Orange Leaf

When do I use funding? Use your FLOOR FUNDS when planning an event for just your residents on a particular floor or in a particular living space Ask for HALL FUNDS if you are planning a hall event or hall trip that you will help coordinate that the whole hall can use

Where do I buy from? Use CPK when you need items that they offer Coca-Cola products Many baked goods Cooking kits ***any other particular item CPK offers/sells Use outside vendors if they are approved or provide something CPK doesn’t The best example is Wal-Mart You should NOT BUY items at Wal-Mart you could directly buy from CPK CPK is in-house, and provides a fast and reliable delivery food service, so it is expected and required to use this resource if they offer what you would like to order

Steps For Funding Choices 1. What type of event am I planning? / What or who will pay for the event? Floor event? – floor funds Hall event? – hall funds 2. If I need CPK, have I placed an order online more than 4 business days in advance? If it is an outside vendor, have I ordered what I need in enough time? 3. If I use an outside vendor and have to pay in person, have I checked out the P-card in advance?
