2 Phases 1A and 1B Began October 2000 with Accenture as system integrator for Ariba “Buyer” software System “live” in March 2001 –Loaded Statewide Commodity Contracts (fixed price) first - 1A –Then loaded variable priced SCCs -1B –3 Pilot agencies: 50 buyers from DGS/DOT/CHP Completed on time and under budget

3 Phase 1C June October 2001 –Expanded user base to 200+ buyers in 3 pilot agencies –Enhancements: price to 3 decimal places; added FEIN; added contract number; created defaults for buyer phone/fax numbers; added default accounting fields; & created new spend report On time and under budget Nationally award-winning!

4 Phase 1D.1 Enhancements (April 8, 2002) –Changed 3 partitions to single partition –Added users from Dept. of Corrections –Added 370 PIA prompt delivery items –Enabled “eForms” to allow users to electronically notify CAL-Buy of updates to user contact info, shipping & billing info –Enabled copy of order to buyers upon transmission of orders to suppliers On time and under budget

5 Phase 1D.2 Enhancements: (August 30, 2002) –Added CDC, CYA; cities of Lompoc, Chula Vista, Palm Springs, Santa Rosa, Moreno Valley; Napa County & Modesto City Schools –Catalog Public Access System –Support CAL-Card purchases –Add PIA catalog items (12,000+) –Enable SB/DVBE/recycle search criteria –Add Grainger janitorial supply catalog (punchout) On time and under budget

6 What’s Next? Phase 1M = Maintenance and operations with minor enhancements, as time permits Evaluate maintenance in-house or compete for maintenance services until Phase 2 Create PIER to evaluate lessons learned Conduct competitive bid for consultant to conduct market research and assist in defining Phase 2 requirements; do FSR/RFP Conduct competitive bid for Phase 2 system integrator

7 Phase 2 Add remainder of leveraged procurement vehicles to electronic catalog Ability to process “stand-alone” buys –Electronic solicitations, bidding & evaluation; –Decision Support tools & contract administration –Reverse Auctions Oversight, tracking & reporting Support procurement reforms
