Business Letter Self Revisions

Reasons & Support You need to have at least 2 reasons that support your argument. These should be in your 2 nd paragraph. Highlight each of those reasons. If you don’t have 2 reasons, write “need more reasons to support” Each reason should also be fully explained, with at least one example. Highlight each example for your reasons in a second color. If you don’t have an example supporting your reasons, write “need examples”

Reasons & Support Your reasons and support in paragraph 2 should be organized as follows: Reason 1 Example Reason 2 Example

Reasons & Support Therefore, your paragraph #2 should be highlighted as follows: Sentence Sentence Sentence Sentence. Sentence Sentence Sentence Sentence Sentence. Sentence Sentence Sentence Sentence Sentence Sentence Sentence. Sentence Sentence Sentence. Sentence Sentence Sentence Sentence Sentence Sentence. Sentence Sentence Sentence. Sentence Sentence Sentence Sentence Sentence Sentence Sentence Sentence Sentence. Sentence Sentence Sentence Sentence Sentence Sentence Sentence Sentence. SentenceSentence Sentence Sentence Sentence. Sentence Sentence. Sentence Sentence Sentence Sentence.

Complete Sentences All your sentences should be complete sentences: with a subject, a verb, and a complete thought. Underline the subjects and verbs in all your sentences. If you’re not sure if the sentence has a complete thought, ask me or a neighbor.

Varied sentence beginnings You should vary the way you begin your sentences. Most sentences begin with the subject of the sentence. We clearly need to change this law. Here are ways to vary that: Begin with a prepositional phrase In the end, we clearly need to change this law. Begin with a subordinate clause Because of these tragedies, we need to change this law. Begin with other introductory words and phrases To be most effective, we need to change this law. Obviously, we need to change this law You need at least 3 sentences in your letter that have varied beginnings. Add those now.

Active Voice All your sentences need to be in active voice. That means that the subject is the doer of the action of the verb. Passive Voice: This law should be changed. Here, the law receives the action of being changed, instead of doing the action of changing. Active Voice: We should change the law. Here, the subject “we” is doing the action of changing. Look at EACH S/V pair and change it to active voice if needed.

Transitions The best way to make your letter flow naturally is through the use of transitions. These allow your reader to move clearly from idea to idea in your letter.

Common Transitions You need at least 3 transitional words/phrases in your letter. Add those now.
