What is an episode?

An episode is a container An episode is a container. The container encloses the set of services provided to a client/customer over time. It has a beginning point - defined by the partner agency It has a ending point - defined by the partner agency Time Service

When should an episode end? An episode ends at the time a client/customer has completed his/her services from an agency. All services that begin and end within 90 days of one another are to be included in the episode. Episode 1 Service Episode ends when a service has not been delivered for at least 90 days Service Episode 2 90 days between services End of episode 1Beginning of episode 2

An episode can include two or more programs Episodes are program independent. A client / customer of an agency can be involved in two or more programs and have only one episode. An episode ends when an outcome date is provided to the system by the agency. Episode Agency XYZ Service Program A Program B Service Episode beginsEpisode ends

A client / customer can have two or more episodes from the same agency An agency can have two or more episodes for the same person, however, there should not be multiple episodes that cover the same period of time within an agency. 90 days or more between services Service Correct End of Episode 1Beginning of Episode 2 Service Beginning of Episode 2 Incorrect – Episodes overlap End of Episode 1 Time

An example of an episode from two agencies serving the same client / customer. This is a story of Bob. Bob was a happy man… – He had a great wife who stayed home with their one- year old son – He had a great job at the local factory – His life was good

− Car accident, sideswiped, crushed his legs − Paralyzed from the waist down − No longer able to work at his current job − His wife could only find part-time work What was Bob to do??? Then an accident happened

Bob Gets Help First, Bob goes to Children, Adults and Families (CAF) on July 1, 2000 to apply for food stamps CAF suggests to Bob that the Vocational Rehabilitation Services (VRS) might also be able to help Bob then goes to VRS on August 1, 2000 where the staff sets him up with a variety of services – vocational counseling – skills training – rehabilitation services

After a several months, Bob finds a job – Exits VRS on Dec. 31, VRS sends a closure date of Dec. 31, 2000 to PRISM. That is the end of the episode at VRS – Bob continues with food stamp services from CAF A year after signing up with CAF, Bob no longer requires food stamps. His episode from CAF ends on June 30, Life is looking up for Bob and his family again Back on Track
