A Training Program for Shareable Metadata Metadata for You & Me is a collaboration between the University of Illinois Library and Indiana University. This project is made possible by a grant from the Institute of Museum and Library Services through the Laura Bush 21st Century Librarian Program. Metadata for You & Me Section 14: Shareable Metadata in Practice: Workflow

Basic metadata sharing workflow Write metadata creation guidelines Choose standards for native metadata Who to share with? Choose shared metadata formats Plan Create metadata (thinking about shareability) Create Perform conceptual mapping Perform technical mapping Validate transformed metadata Test shared metadata with protocol conformance tools Transform Implement sharing protocol Share Communicate with aggregators See who is collecting your metadata Review your metadata in aggregations Assess 2

Another view of the sharing workflow Test Share Crosswalk 3

Three possible OAI-PMH workflows OAI Harvester Digital asset management system Metadata creation module OAI data provider module Transformation Metadata creation system Stand-alone OAI data provider Transformation DC QDC MODS MARCXML DCMARCXML QDCMODS Metadata creation module Static Repository Gateway Transformation 4

Selecting a view for shared records If done well, one shared record is appropriate for many different aggregations Only share records appropriate for aggregations –Don’t share records for restricted-access resources –Pick the right granularity of record Make it easy for the aggregator to locate and use records of interest to them 5

Working around system limitations Many digital asset management systems don’t support a second shareable copy of records Do your best to split the difference with system records Use creative interface design for your local system Use extra-protocol documentation for communicating with aggregators Lobby your vendor! 6

Rights over Metadata Some sharing protocols allow you to explicitly state rights over metadata records Rights of source metadata (e.g., vendor records) may affect rights you can claim over shared records Best practice to not restrict use of shared metadata 7

Before you share… Check your metadata –Appropriate view? –Consistent? –Context provided? –Does the aggregator have what they need? –Documented? Can a stranger tell you what the record describes? 8

9 Metadata for You & Me Online What’s available: –Workshop slides in Powerpoint format –Brief textual versions of workshop materials –Supplemental materials such as references, links, and activities Up next: Section 15: Looking Ahead

10 Credits The development of the Metadata for You & Me curriculum was funded through a Laura Bush 21st Century Librarianship grant from the Institute of Museum and Library Services The content for this course grew out of work sponsored by the Digital Library Federation and National Science Digital Library to develop best practices for use of OAI- PMH and shareable metadata We would also like to thank: –Richard Urban, MYM Project Manager –Institutions hosting on-site workshops –…and all participants in the online and on-site workshops for your valuable contributions towards the evolution of this training program This work is licensed under the Creative Commons Attribution-Noncommercial-Share Alike 3.0 United States License.
