SPRING, 2010 Types of Formatting and Copy vs. Move

Copy vs. Move

To place selected text on the clipboard while leaving the original intact, then paste it to a new location To delete selected text from its original location, place it on the clipboard, and then paste it to a new location COPY MOVE

Steps to Copy 1. Select text to be copied 2. Execute the copy command 1. CTRL+C 2. Copy button on Home tab 3. Right click, copy 3. Move the cursor to a new location 4. Execute the paste command 1. CTRL+V 2. Paste button on the Home tab 3. Right Click, Paste 4. Click the Clipboard dialog box launcher

Steps to Move 1. Select text to be MOVED 2. Execute the cut command 1. CTRL+X 2. Cut button on Home tab 3. Right click, cut 3. Move the cursor to a new location 4. Execute the paste command 1. CTRL+V 2. Paste button on the Home tab 3. Right Click, Paste 4. Click the Clipboard dialog box launcher

Character Formatting

Font Face: the shape of a set of characters  Serif – has serifs  Sans Serif – does not have serifs  Script – looks like handwriting  Decorative – anything else

Character Formatting 2 Style  Bold  Italics  Bold, italics  Regular  Underline Size: points – 1 point = 1/72 inch

Character Formatting – 3 Special Formatting  Subscript small text below the normal line of type CO 2  Superscript – small text above the normal line of type cm 3  Highlighted  Strikethrough Color

Paragraph Formatting

Horizontal alignment: the arrangement of text on the page between the left and right margins  Left aligned - straight left, ragged right, CTRL+L  Right aligned – straight right, ragged left, CTRL+R  Center aligned – equidistant from both margins – CTRL+E  Justified – straight at both margins

Paragraph Formatting - 2 Line spacing  Default line spacing for Word, 2007 is 1.15  Single space – no blank lines between lines of text, CTRL+1  Double space – one blank line between two lines of text, CTRL+2

Paragraph Formatting – 4 Special Indents  Left and right indents  Hanging indents – first line is at the margin, subsequent lines are indented  First line indents – first line is indented, subsequent lines are at the margin

Paragraph Formatting – 5 Tabs  Tab stop – a specific location in a line of type  Left aligned – text begins at tab stop  Right aligned – text ends at the tab stop  Center aligned – text is centered on the tab stop  Decimal aligned – decimal is on the tab stop  Bar – create a vertical line

Paragraph Formatting – 5 Tabs  Default tabs – every half inch  User-defined tabs – set by user  Clear default tabs to the left of the new tab stop  Leave the default tabs to the right  Leader – a row of symbols which precedes a tab stop  Set by clicking the ruler or through the tab dialog box

Page Formatting

Margins – the space between the text and the edge of the paper  Default in ” top, bottom left, and right  Margins are set using Page Layout tab, margin button or on the vertical ruler Vertical Alignment – alignment between the top and bottom of the page Page Borders Headers and Footers

Page Formatting - 2 Breaks  Pagination – the process by which Word determines where one page ends and another begins  Section Breaks – allow different page formatting for different sections  Continuous  Next page  Page breaks  Column breaks Orientation  Portrait – taller than it is wide  Landscape – wider than it is tall

Document Formatting

All of the settings for a special document such as a letter, memo, research paper, newsletter, etc.

Graphics

Aspect ratio – the ratio of height to width of a graphic Graphic – a picture (clip art or picture file) Extensions:.jpg,.gif,.png,.pix When inserting a graphic file into Word do NOT use the Open command

Graphics 2 To insert a graphic file:  Insert tab  Picture button  In the dialog box, browse to your picture  Double-click on the thumbnail or click Insert

Graphics 3 Inline graphic – part of the paragraph and is positioned by the same methods used to position text. An inline graphic will move with the paragraph Floating graphic – can be placed anywhere in the document and grouped with other graphics.
