Data Transfer vs. Online Pre-Registration 2 There are two ways for schooltool to allow student data to be submitted electronically to/from districts:

3 Online Pre-Registration PLEASE NOTE: ANY-school districts and parents MAY use this functionality. The Online Pre-Registration area allows districts to set specific options for online pre-registration and to customize messages for users. Schooltool districts will setup the configuration and manage the URL link. All schooltool systems allow use of Online Pre-Registration. 5 Student Data Transfer If BOTH school districts use the schooltool student information management system, then they can take advantage of the Transmit Student Data (Data-Sharing) functionality! SENDING: RECEIVING: Any District… or… BOCES / Summer School Salmon River CSD Northern Adirondack CSD

Transmit Student Data 6 For Example: SENDING: Northern Adirondack CSD Once setup completed, the Sending school’s student records will display the Transfer Student Data icon to submit student data to the Receiving District for enrollment purposes. The Receiving District can review the transmitted student records and choose to accept them, edit, or not accept the student record. Information can include the student’s Sending District as well as the student ID in the Home School. RECEIVING: Any District… or… BOCES / Summer School

8 Share Student Data If BOTH districts have the same student enrolled (such as a component district and BOCES) they can link the student’s records and share the following information: Allow District to View:  General: Last Name, First Name, Building/School Level, Grade, Student ID (the top section of a student record).  Contacts: (Names, Addresses, Phone Numbers, relationship types, Primary Contacts, Receive Mail, Pick Up Rights.  Call Order: (Contact Names and Phone Numbers)  Attendance: A list of daily absences (including Ins and Outs), absentee reasons, and dates for the current school year.  Report Cards: Allows users to choose from available shared report cards  Transcript: Shows a copy of the selected transcript for that student

9 Transmit Data Look up student in Census and click on Transfer Student Data Once you click on Transmit the student will now be sent to the other school district. The other district has the option to accept or decline the student transfer.
