2017 PACIFIC BASIN MUSIC FESTIVAL 25 March to 1 April 2017 Honolulu, Hawaii Educational music festival with adjudicated and outdoor performances, workshops, a luau, dinner dance and site seeing opportunities including Pearl Harbour Chance to meet and network with students from countries all over the Pacific Basin including Australia, Canada, Japan, New Zealand, Singapore, South Korea, Taiwan, Tonga, Guam and the United States
WHAT IS THE CORPORATE SPONSORSHIP SCHEME ALL ABOUT? Each family seeks sponsorship from businesses who contribute towards their child’s tour cost For each advertising sponsorship unit –The sponsor pays $240 –$200 is deducted from your child’s tour cost –$40 goes towards advertising and printing costs by Sponsors can choose multiple sponsorship units
WHAT DOES THE SPONSOR RECEIVE? An advertisement in our full page feature in the Post newspaper. For each sponsorship unit of $240 the sponsor will have an ad measuring 5 cm x 3.8 cm. Acknowlegement of their contribution and additional advertisement in a full page colour insert in our Shenton College News Certificate of Sponsorship to display at their premises Priority seating at the farewell concert prior to departure

WHAT DO YOU DO? Collect your sponsorship starter pack today – 3 sponsor folders for $1 Fill in the payment and family details sections on each “Acceptance of Advertising Sponsorship” form Become familiar with the details of the tour and the sponsorship scheme especially the benefits to the sponsor Approach sponsors and provide them with a sponsor folder If you need additional sponsor packs contact the committee and you will be able to collect from the school Main Admin office Alternatively you can download the forms and print yourself from the Shenton College website

TIPS FOR APPROACHING SPONSORS Make a start by approaching friends or family who have businesses or businesses that you regularly patronise Speak to them in person Try to avoid busy times of the day Ask to speak to the owner or manager of the business Check that they haven’t already been approached by another family Present the folder and explain the sponsorship offer
SEALING THE DEAL To accept the offer the sponsor must: –Complete and sign the ”Acceptance of Advertising Sponsorship” form –Make payment by bank transfer (preferred) or by cheque –Return the form by either Directly to you By scanning the completed form and sending to the (bank transfer By enclosing in preaddressed envelope (with cheque if applicable), add a stamp, and send by post If they return the form to you please enclose in envelope and drop off to the Music Tour box at the school’s Main Admin office The sponsor then sends their advertising logo and graphics to
THEN WHAT HAPPENS? Once we receive the form the Corporate Sponsorship Committee will –Enter the details in the Sponsorship database –Confirm payment has been received into the Sponsorship bank account –Provide a receipted invoice, certificate and thankyou by to the sponsor –Once we have enough ads for a full page we will organise the full page advertisement in the POST and arrange printing for the Shenton College News –We will notify the sponsor when the ad will appear in the POST –Transfer the sponsorship deduction to the school under your child’s name and notify you by –Send the sponsor tickets to the farewell concert

FREQUENTLY ASKED QUESTIONS What happens if I need to cancel my child’s tour and I have obtained sponsorship? –This hasn’t happened in the past so will consider and update parents after a decision on this question Can a business get a larger ad? –Sure they just need to buy multiple sponsorship units. Can a business have their ad in a number of print runs? –Sure they need to buy multiple sponsorship units and then make a note on the form on what they would like. In this case someone from the committee will get in contact with the sponsor and work out with them what they want to do. You won’t need to worry about that. Can a business sponsor more than one family? –Sure if they are so generous. The committee will be maintaining all data in a database and the bank account is audited so there is no risk of sponsorships getting mixed up. How much would it cost for a business to get a similar size ad in the Post normally? –We are investigating this and will get back to parents soon with an answer.
